Overview:
This position plays a crucial role in overseeing procurement tracking, cost management, and operational activities for the critical operations team. This role involves liaising with procurement and finance departments, managing purchase orders, coordinating company events, monitoring project progress, managing contracts, analyzing overtime and manpower KPIs, and facilitating communication among various stakeholders.
Key Responsibilities:
Procurement Tracking and Cost Management:
- Oversee procurement activities and ensure adherence to budgetary constraints.
- Monitor costs associated with critical operations and implement cost-saving measures where applicable.
Liaison and Coordination:
- Serve as the primary point of contact between the critical operations team, procurement, and finance departments.
- Coordinate with shift leads and project key personnel to ensure smooth progress and communication.
Purchase Order Management:
- Manage the creation, processing, and tracking of purchase orders to support operational needs.
Budget Management:
- Handle simple budgeting tasks such as grocery orders, birthday perks, and activities.
- Assist in managing budgets for company events like annual dinners and festivals.
Project Management Support:
- Coordinate, monitor, and follow up on the progress of ongoing projects within the critical operations team. To make sure the progress is aligned with the compliance and standard policy
Contract Management:
- Manage procurement contracts and ensure compliance with terms and conditions.
Certificate Renewal and Compliance:
- Ensure timely renewal of certificates such as ISO, Bomba certification, and security certificates.
- Maintain compliance with relevant regulations and standards.
Analysis and Reporting:
- Conduct analysis on overtime and manpower KPIs to optimize resource allocation.
- Prepare reports and presentations for management meetings and monthly reviews.
Event Management:
- Manage company events, including planning, coordination, and execution.
Facilitation and Communication:
- Facilitate regular monthly meetings and management meetings.
- Utilize effective communication skills, including written correspondence and logical reasoning abilities.
Requirement:
- Diploma/Degree or equivalent
- Mandarin speaker (To communicate with China management)
- Well-versed in English (To convey management's ideas to the team)
- Candidate must be willing to work in Bukit Jalil, Cyberjaya OR Kulai, Johor
