SCOPE AND GENERAL PURPOSE OF THE JOB

The Payroll Assistant Manager oversees payroll processes, employee records, and HR administrative tasks, ensuring accurate compensation and compliance with labor laws. This role supports recruitment, talent acquisition, and employee relations while maintaining high standards of accuracy and confidentiality. By efficiently managing payroll operations and HR functions, the Payroll Assistant Manager contributes significantly to the effectiveness of the Human Resources department.

 

MAIN DUTIES AND RESPONSIBILITIES

Payroll Management:

  • Verify and process payroll-related claims such as Overtime, Attendance Allowance, KPI, Roadshow Allowance, etc., ensuring accuracy and timeliness.
  • Ensure timely and accurate payroll processing for all staff.
  • Process year-end performance payouts (bonus, annual KPI, and Profit Shares).
  • Review year-end salary adjustments, promotions, and other compensation changes.
  • Prepare annual profit share and KPI letters for staff.
  • Manage and review the company's commission scheme.
  • Conduct regular audits and reconciliations to ensure data integrity in payroll systems.
  • Generate and distribute pay slips to staff on time.

Employee Records and Claims:

  • Update and maintain employee attendance and leave records.
  • Administer employee claims such as medical, dental, SOCSO, etc., ensuring compliance with company policies.
  • Maintain accurate and timely records of employee benefits and entitlements.
  • Ensure accurate and timely maintenance of both physical and digital personnel records.

HR Administration:

  • Prepare HR correspondence letters such as confirmation, promotion, warning, show cause, transfer, and termination letters.
  • Monitor and follow up on employee disciplinary issues, including issuing show cause and termination letters.
  • Maintain a well-organized filing system for easy retrieval of HR records.
  • Perform general office administration and HR-related duties.

HR Systems and Reporting:

  • Ensure the continued quality and integrity of HR data through regular audits and reconciliations.
  • Consolidate and provide recurring and ad-hoc HR data analysis and reports.
  • Design, implement, and evaluate HR reports and other information solutions, ensuring consistency, reliability, and accuracy.
  • Assist in building a reporting strategy to enable data-driven business decisions for HR and management.
  • Manage and implement initiatives in HR systems to drive alignment, standardization, simplification, and automation.
  • Proactively identify opportunities for improvement in HR policies, processes, and systems.
  • Execute additional job responsibilities as required by superiors or designated persons.

Industrial Relations:

  • Provide advice according to the Labour Law and company policies.
  • Promote and maintain industrial harmony between management and employees.
  • Counsel, make recommendations, and take constructive disciplinary actions under the organization's human relations policies and procedures.
  • Handle grievances, conduct due inquiries, and manage staff misconduct and disciplinary cases.
  • Mediate and resolve industrial relations matters amicably.
  • Represent the company on matters relating to industrial relations.

SOP/Documentation/Audit Support:

  • Responsible for process and procedure documentation and updating company policies to ensure compliance with established regulations.
  • Standardize and improve workflow, operating efficiency, and reduce process risks.
  • Address audit and other queries as required.

 

Qualifications & Requirements:

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • A minimum of 5 years’ experience in payroll processing and HR administration.
  • Strong knowledge of payroll software and HRIS systems.
  • Excellent organizational and multitasking abilities.
  • Strong attention to detail and problem-solving skills.
  • Good understanding of labor laws and industrial relations practices.
  • Effective communication and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to handle confidential information with discretion.
