This role is responsible for executing day-to-day HR operational activities across the employee lifecycle, maintaining HR system data integrity, supporting payroll inputs, and administering employee benefits. The incumbent will ensure timely processing of HR transactions, compliance with internal policies, and proper documentation for audit requirements.Key Responsibilities
1. Employee Lifecycle & HR Operations
Administer end-to-end employee lifecycle transactions including confirmation, transfers, job changes, resignations, terminations, retirements, and contract movements.
Prepare and issue employment letters (e.g., confirmation, extension, transfer, resignation acceptance, retirement, renewal, conversion).
Coordinate approval workflows with business units and key stakeholders to ensure timely processing.
Manage and track exit management processes including documentation, clearances, and system updates.
Maintain proper filing and compilation of employee lifecycle records for audit and compliance purposes.
2. HRIS Administration & Data Management
Maintain accurate and up-to-date employee records in HRIS (e.g., Workday) including job, compensation, and employment data changes.
Execute HR system transactions such as employee movements, status updates, and bulk data uploads.
Ensure alignment and data integrity across HR systems and related platforms.
Generate employee reports, staff listings, and HR data extracts as required.
Support HR data audits, system reviews, and process improvement initiatives.
3. Benefits & Employee Services Administration
Administer employee benefits programs including education sponsorship, staff purchase discounts, and other corporate benefits.
Manage application, verification, and approval workflows in accordance with company policies.
Prepare benefits letters, maintain bond records, and coordinate payment processing where applicable.
Administer flexible work arrangements and special leave programs, including documentation and system updates.
Maintain benefits records and supporting documentation for audit and compliance requirements.
4. Payroll & Statutory Support
Support monthly payroll processing activities including employee data validation, movement updates, and payroll input preparation.
Assist in overtime processing, verification, and reporting submission to Payroll within stipulated timelines.
Liaise with Payroll team on employee changes impacting salary, allowances, deductions, and final payments.
Support statutory administration including data preparation and validation for EPF, SOCSO, and PCB submissions.
Ensure payroll and statutory documentation is properly maintained for reconciliation and audit purposes.
Requirements
Education & Experience
Bachelor’s Degree / Diploma in Human Resources, Business Administration, or related discipline.
1–3 years of experience in HR Operations, HR Shared Services, HRIS, or Payroll support.
Technical Skills
Experience using HRIS systems (Workday preferred).
Proficient in Microsoft Office, especially Excel.
Exposure to payroll processing and statutory administration is an advantage.
Knowledge
Basic knowledge of Malaysia employment practices and statutory requirements (EPF, SOCSO, PCB).
Competencies
Strong attention to detail and data accuracy.
Good coordination and stakeholder management skills.
Ability to handle confidential information with integrity.
Organized, process-driven, and able to meet timelines.
