Concession Executive - Rewarding Work

This role reports to the Concessions Manager/ HOD and is responsible for overseeing administrative tasks and providing support to the management team through: -

1. Collaborate with concession managers to compile and source necessary products and services for each project and upcoming business plan.
2. Efficiently manage vendor-related activities, encompassing registration, tender and memo preparation, account management, and coordination of deliveries.
3. Ensure the integrity of systems, specifically SAP and Vista, by overseeing tasks related to recipe maintenance and contractual pricing.
4. Conduct thorough validation of inventory for both food and non-food products, in close coordination with the finance department based on purchase records.

Principal Accountabilities 

• Verify the validity and legitimacy of vendor registrations and contracts to facilitate seamless order processing.
• Validate all contracts and pricing within SAP and Vista systems to ensure accuracy and compliance.
• Prepare essential documentation for tenders and waivers, supporting timely business operations.
• Generate SAP reports for comprehensive housekeeping and drawdown reporting, including monthly reports to monitor aging against Statement of Accounts (SOA).
• Monitor pending deliveries, promptly escalating issues to ensure adherence to vendor agreements.
• Ensure that products and services adhere to tender specifications, maintaining compliance.
• Manage team Key Performance Indicators (KPIs) and conduct weekly meetings to update on team performance and progress. Coordinate with other departments to ensure alignment with overall company goals.
• Maintain and update vendor data in SAP, facilitating effective communication of changes in SKUs, vendor closures, and stock adjustments to all relevant locations.

Requirements:

• Diploma / Degree qualification
• Minimum 3 years of working experience
• Organized and able to manage the time effectively to handle multiple tasks by prioritizing
• Detail-oriented and able to ensure accuracy in verifying invoices and orders.  
• SAP MM knowledge will be an added advantage. 
• Good proficiency in MS Excel
