JOB RESPONSIBILITIES:

Job Purpose

Responsible for the end-to-end digital advertising booking, campaign utilisation monitoring and billing processes, ensuring accuracy, timely execution and compliance with Finance SOPs and corporate governance requirements.

The role serves as a key operational contact for Sales, Finance and Campaign Management, supporting campaign fulfilment, revenue tracking and billing reconciliation. It also contributes to system enhancements and continuous process improvement as business requirements evolve.

Key Responsibilities

1. Campaign Booking, Monitoring & Billing

• Process and validate digital advertising bookings in ARP, SAP and other relevant systems, ensuring accuracy, completeness and adherence to established SOPs.
• Verify campaign documentation, pricing, approvals and booking details against Finance and audit requirements.
• Monitor campaign utilisation and delivery progress, identifying discrepancies and potential billing issues.
• Prepare weekly campaign progress and revenue utilisation reports, as well as monthly billing and revenue reconciliation reports.
• Maintain consistent data entry standards and accurate system records to support reliable reporting and data integrity.
• Coordinate with relevant stakeholders to ensure timely and accurate completion of monthly billing cycles.

2. Stakeholder & Request Management

• Serve as the primary operational contact for digital advertising booking and billing-related enquiries.
• Manage, track and respond to requests from Sales, Finance, Campaign Management and other relevant stakeholders.
• Proactively identify, escalate and follow through on booking, fulfilment or billing discrepancies to ensure timely resolution.
• Coordinate across teams to support campaign execution, resolve operational issues and maintain service quality.

3. Systems & Process Improvement

• Support new advertising product setup, rate card updates and system configuration changes across relevant platforms.
• Participate in system enhancements, user acceptance testing (UAT) and migration activities.
• Identify opportunities to improve operational workflows through process standardisation, automation and technology adoption.
• Support ongoing SOP enhancements in collaboration with Finance, Campaign Management and Ad Operations.
• Adapt to evolving business requirements and contribute to new operational or cross-functional responsibilities as processes and systems develop.

REQUIREMENTS:

Skills & Experience

• Diploma or Degree in Business, Finance, Data Analytics, Communications or a related discipline.
• Preferably 1–2 years of experience in advertising operations, order processing, billing, finance operations, data processing or administrative support.
• Strong numerical aptitude, analytical thinking and attention to detail.
• Proficient in Microsoft Excel, including formulas, lookups, PivotTables and data reconciliation.
• Good communication skills in English and Bahasa Malaysia, with the ability to collaborate effectively across teams and stakeholder levels.
• Meticulous and process-oriented, with a strong commitment to accuracy, consistency and compliance.
• Accountable and dependable, demonstrating ownership of assigned responsibilities and the ability to deliver quality work with minimal supervision.
• Organised and proactive, with the ability to manage recurring deadlines, identify discrepancies and follow through on outstanding matters.
• Adaptable and eager to learn, with the flexibility to embrace new technologies, processes and evolving responsibilities.
• Resourceful and solution-oriented, with a willingness to identify inefficiencies and contribute to operational improvements.
• Familiarity with SAP, advertising booking systems or revenue tracking platforms would be an added advantage.
• Familiarity with AI productivity tools (e.g. ChatGPT, Claude or Microsoft Copilot), with an interest in applying them to improve day-to-day productivity and operational efficiency, would be an added advantage.
• Experience with Power Query, Power BI or workflow automation would be an added advantage.
