Penerangan Pekerjaan - Executive Assistant cum Office Admin

Administrations Documentation and Reporting

  • Attending high-level meetings with country leaders and taking the minutes for executing/following up on the action items.
  • Assist in negotiating, communicating, and coordinating with cross-department and external customers.
  • Strategically organize meetings, events, and tasks to optimize their Executive's time and keep productivity on track.

Documentation and Reporting - Support business success by mechanism enhancement and execution

  • Create a report/dashboard by fiscal period and prepare the presentation for the country leaders with the summarizing skill to make the country leaders can get the key point immediately.
  • Assist country leaders in annual budget planning to ensure the budget is aligned with the business plan and responsible for verifying whether the budget is in control.
  • Researching various topics to provide information an insight to the country leaders.

Support business success by mechanism enhancement and execution 

  • Lead cross-department/reginal team projects to support country leaders in organization operations and ensure the project performance is aligned with expectations.
  • Ensuring the implementation of organizational management mechanisms works and based on the situation provides suggestions to adjust the organization's discipline for country leaders.
  • Leverage the resource from HQ to the regional sales team to ensure operations continued smoothly.
  • Serving as a contact for Sales team to assist/implement various projects related to the business processes.

Support Office Administrative

  • Oversee daily office operations and ensure the office environment is professional and efficient.
  • Manage office supplies, equipment, and inventory.
  • Coordinate maintenance and repair of office equipment and facilities.
  • Coordinate and manage staff travel arrangements, including booking flight tickets, arranging accommodations, purchasing travel insurance and ensuring smooth travel logistics.
  • Manage company licensing processes and ensure compliance with all regulatory requirements.
  • Implement and maintain office policies and procedures.

Ad-hoc

  • Assisting in and managing cross-departmental communication.
  • Handling unexpected urgent issues.

 

Basic Qualifications: 

  • Master’s degree
  • Fluency in written and verbal English
  • A minimum of 5 years’ experience in Accounting, Finance, and Business Management related
  • Data processing, General Accounting acknowledgement
