About the Role
- Provide a full range of confidential personal assistant duties and overall administration support
- Providing secretarial and administrative support to the Chairman and Board members
- Liaison officer between Al Rajhi KSA CEO’s Office and other top management office
- Provide support in relation to luncheon, social events, calendar management, meeting coordination, travel/accommodation arrangements, scheduling for internal / external staff training and mail processing
- Maintaining the agenda of EXCO and assisting them in planning conferences, appointments, and board meetings
- Liaison officer between all impacted departments to ensure proper communication and reporting practices
- To manage all original Bank Negara correspondences directed to the CEO’s Office
- Perform administrative tasks including drafting presentation slides, letters, memos, invoices, reports, and other documents for senior staff
- Attending meetings, minutes-taking, receiving, screening and redirecting phone calls
- Receive incoming communication or memos on behalf of senior staff, review contents, determine importance, and summarize and/or distribute contents to appropriate staff
- Conduct research and preparing reports or presentations as assigned
- Maintain paper as well as electronic records ensuring proper organization of information along with easy accessibility
- Monitoring office stock supplies and negotiating terms/contracts with suppliers for ensuring cost-effective orders
- Preparing financial statements or invoices and also providing assistance with bookkeeping
- Handling confidential documents while also ensuring their security
- Making travel and accommodation arrangements for Executives
- Perform additional duties as assigned
Skills, certifications and experience you possess:
- Bachelor’s Degree / Professional Degree in any related field
- Possess a minimum of 5 years' working experience in a secretarial role to Senior Management, preferably in Banking / Financial Services industry
- Possess comprehensive knowledge of office administration, clerical procedures, and recordkeeping systems
- Excellent verbal and written communication skills
- Excellent organizational and time management skills, and attention to detail
- Proficient with Microsoft Office suite or similar software with the ability to learn new or updated software
