We are in need of an expert Executive, Record Controller to join our energetic team at Malaysian Communications and Multimedia Commission in Cyberjaya, Selangor.

Job Summary

Responsible for the timely, accurate, and efficient preparation of personal files, record updates, projects documents and ensuring accurate documentation is stored safely. Control the numbering and sorting of both digital and hard copy documents in order to ensure ready SOPs for all processes and all guidelines are updated accordingly.

 

Job Responsibilities:

  • Store and maintain confidentiality data according to the classification of documents.
  • Participate in the development, maintenance, and improvement of departmental and sustainability document control work processes.
  • Collect and register onboarding documents and store them in personal files.
  • Review and revise documents to ensure accuracy, currency, and quality control. 
  • Establish and maintain record retention timelines.
  • Key in and update data in HRIS and maintain data integrity for staff profile and talent mobility.
  • Conduct regular reviews to ensure data consistency and integrity.
  • Response to data/record query and rectify for update within SLA.
  • Update SOP/Surat Pekeliling and Talent Management related forms to ensure the documents’ currency and relevancy.
  • Disseminate new/enhanced SOP/Surat Pekeliling/Forms to business partners and other stakeholders.
  • Undertake any other ad hoc projects/duties assigned by the HOD/Management.

 

Qualification & Work Experience

  • Minimum Bachelor’s degree in Business Administration, Office Management, Information Science or a relevant field with a minimum CGPA of 3.00 or equivalent.
  • Fresh graduate or up to 3 years of experience in document management, records keeping, or archive management.
  • Familiarity with regulations including ISO standards regarding document handling and storing.
  • Basic understanding and knowledge of labor law.
  • Proficiency in Microsoft 365 and SharePoint.
  • Good command of English and Bahasa Melayu with strong analytical, report writing, and communication skills.
