Job Function
- To provide an efficient and responsive secretarial, administrative, organizational, and logistical service to the Group CFO and responsible for providing comprehensive, confidential, and professional support in all aspects concerned with the efficient and successful operation of the office.
Key Responsibilities
- Provide secretarial and administrative duties, office management, and business support to the GCFO and perform a wide variety of secretarial duties that are confidential.
- Manage GCFO diaries, scheduling meetings and appointments, assessing the priority of appointments, and reallocation as necessary.
- Organize travel plans and itineraries of the GCFO and make necessary booking arrangements (flights, ground transportation, accommodation, etc.).
- Arrangement for the meetings, minutes taking and recording of the meeting process and decision.
- Assist GCFO by chasing responses and triggering follow-up action within the organization and/or outside the organization.
- Assist GCFO with his reimbursement of business expenses.
- Serve as the primary point of initial contact for internal, external, officials and constituencies on all official/ personal matters.
- Manage GCFO's driver to ensure smooth travel arrangements and appointments.
- Screen through incoming calls, take down messages and respond to external queries and requests on behalf of GCFO.
- Responsible for maintaining a petty cash drawer and distribution of petty cash to the GCFO office when necessary.
- To liaise positively and professionally with colleagues and visitors.
- Any other tasks assigned by the immediate superior.
The Successful Applicant
The successful candidate will be confident in leading the business and steering the company to the most profitable position while implementing its vision, mission, and long-term goals. The candidate must possess the requirements below:
- Possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, Business Studies/Administration/Management, Secretarial.
- At least 3-5 years of experience as a secretary position.
- Proactive, quick, flexible, dependable, independent, highly organized, a team player with a strong sense of responsibility and have a proven ability to juggle multiple competing tasks and demands.
- Attention to detail, with the ability to maintain a high level of accuracy.
- Experience in information finding or research using reliable search engines.
- Have a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint.
- Proficient in both written and spoken English and Bahasa Malaysia.
- Advanced typing, note-taking, record-keeping and organizational skills.
- Ability to manage internal and external correspondences.
- Excellent written and verbal communication skills.
