As a Facility Executive, you will play a vital role in the efficient operation and maintenance of our facilities. You will be responsible for overseeing the day-to-day management of our physical spaces to ensure they are safe, functional, and conducive to our organization's operations. This role requires a keen attention to detail, strong organizational skills, and the ability to effectively communicate with various stakeholders.

Key Responsibilities

Facility Maintenance:

  • Conduct regular inspections of facilities to identify maintenance needs and ensure compliance with safety regulations. 
  • Coordinate repairs and maintenance tasks, including plumbing, electrical, HVAC, and general building upkeep.
  • Develop and implement preventive maintenance schedules to minimize downtime and prolong the lifespan of equipment and facilities.

Space Management:

  • Manage space allocation and utilization to optimize efficiency and meet the needs of employees and visitors.
  • Coordinate office reconfigurations, renovations, moves, and expansions, ensuring minimal disruption to operations.
  • Maintain accurate records of space allocations and inventory of furniture, equipment, and supplies.

Safety and Security:

  • Implement and enforce safety protocols and procedures to ensure a secure and hazard-free environment.
  • Oversee emergency preparedness plans and conduct regular drills to ensure readiness.
  • Collaborate with security personnel to monitor access control, surveillance systems, and respond to security incidents.

Vendor Management:

  • Liaise with external vendors, contractors, and service providers to procure necessary supplies and services.
  • Negotiate contracts and service agreements to obtain competitive pricing and ensure quality service delivery.
  • Monitor vendor performance and address any issues or discrepancies in a timely manner.

Budget Management:

  • Assist in the development and management of the facility budget, tracking expenses and identifying cost-saving opportunities.
  • Prioritize spending to align with organizational goals and maintain fiscal responsibility.
  • Prepare regular reports on budget performance and variances for review by management.

Qualifications

  • Bachelor's degree in Facilities Management, Business Administration, Engineering, or related field preferred.
  • Experience in managing renovation projects is a MUST.
  • Proven experience in facility management or a related role, with knowledge of building systems and maintenance best practices.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams, external vendors, and contractors.
  • Knowledge of safety regulations and compliance requirements related to facilities management.

Additional Requirements

  • Flexibility to respond to emergencies or address issues outside of regular business hours, as needed.
  • Willingness to undergo training and certification programs to enhance skills and stay updated on industry best practices.
  • Ability to lift and move heavy objects and perform physical tasks as required in a facility setting.
