Facilities Manager - Urgent Hire

This position is responsible for the full spectrum of school building and facilities maintenance. The incumbent will report to the Building Director and work closely with the school leadership team. The ideal candidate must have a good understanding of the operation of all aspects of its building and facilities to create an optimal, safe and cost effective environment for the occupants to function. The incumbent should have experience in space management, facilities system and security of the building and facilities ensuring the management of cost and business risk. The incumbent must be able to develop and implement best building and facilities management practice to safeguard the School.

Key Responsibilities:

A. Management Responsibilities

• Manage and oversee the day to day running of the Maintenance Department.
• Formulate, review and implement policies, systems and procedures for the department.
• Develop and review the rolling programme for facilities management to ensure upkeep of facilities are done periodically and all facilities are functioning properly.
• To ensure minimum disruption in facilities breakdown for smooth running of the school operations.
• Schedule and supervise maintenance repair work to ensure the work is carried out in good manner.
• Maintain ongoing communication with contractors, senior leadership team and the maintenance team.
• To supervise the work carried out by external contractors and ensure highest priority is given to safety and security.
• Prepare and maintain the list of equipment and its routine services and monitor that these services are done timely.
• Prepare a report to the line manager as and when required.
• Arrange staff trainings for subordinates.
• Any ad-hoc task assigned by the Line Manager.

B. Facility and Service Management

• Oversees pest control and waste management and any other environmental issues.
• Review and monitor the cleaning contractors and make recommendations whenever necessary.
• Conduct periodic checks on fogging services and grass trimming including landscaping.
• Attend renewal of licences pertaining to plant, machinery and equipment e.g. elevator, gas piping etc..
• Conduct periodic inspections on the drain pipe clogging and ensure all blockage is cleared to avoid water ponding and flooding.
• Review and monitor the servicing of the air conditioning system for the school to ensure minimum breakdown.
• Conduct periodic inspections of equipment in classrooms, staffroom and offices.

C. Building Maintenance and M&E Services

• Schedule and conduct consistent, periodic preventive maintenance or repairs to building structure, wiring works, installation of lighting fixtures, paint works, plumbing works, water supplies, flooring, roofing etc.
• Ensure non disruptive power supplies, emergency lighting, electrical appliances and wiring are in good condition.
• Oversee the renovation works and any building works within the school premises.
• Attend to power failure for restoration of power supply
• Alert on breakdowns, damages and potential hazard and ensure replacement of faulty items to rectify the faulty equipment promptly.
• Improve the overall efficient functioning of electrical and mechanical equipment and appliances including auto gate, locks and door access.

D. Security Management

• Manage the trend flow trends and ensure the security team coordinates the traffic flow.
• Monitor the access control room, investigate and alert the management on intruders.
• To attend to any investigation of theft, break ins or accident in the school premise and advise the management on areas for improvement.

• Ensure safety and protection systems e.g. fire extinguishers, smoke detectors, fire control panels, wet systems are functioning.
• Attend the renewal of licences related to fire fighting equipment.
• Ensure compliance with fire regulations and BOMBA requirements.
• Continuously seeking up to date information on building and BOMBA compliance.

Requirements:

• Minimum a Diploma or Degree in building management or related disciplines.
• Good spoken and written communication skills in English and Bahasa.
• Minimum 10 years experience in building maintenance and M&E services.
• Independent and resourceful with good problem solving skills.
• Honest, high commitment and passionate.
• Friendly and warm personality.
• Self-motivated, adaptable and flexible.
• Proficient in MS Office, Gsuite.
