Your Role:

We are seeking a highly skilled and detail-oriented Finance & Admin Executive to oversee all aspects of invoicing, finance data entry and admin within our organization. The ideal candidate will possess a strong background in finance, exceptional organizational abilities, and proficiency in Xerox systems. This role requires meticulous attention to detail, as well as the ability to efficiently manage large volumes of financial data.

Responsibilities:

  1. Invoicing Management:
  • Oversee the entire process of client invoicing, from generation to distribution, ensuring accuracy and timeliness.
  • Coordinate with various departments to gather necessary information for invoicing purposes.
  • Resolve any discrepancies or issues related to invoices in a prompt manner.


2. Payments to suppliers:

  • Ensure timely and accurate processing of payment to various suppliers.
  • Review transaction documents for completeness and accuracy, including verification of required documents and approval signatures.
  • Schedule and prepare payment, resolve purchase order, contract, invoice, or payment discrepancies and documentation; ensure credit is received for outstanding memos.


3. Finance Data Entry:

  • Manage the entry of financial data into the company's systems with precision and accuracy.
  • Maintain organized records of financial transactions and ensure compliance with company policies and regulations.
  • Conduct regular audits to verify the accuracy of financial data and identify any discrepancies.

4. Xerox Expertise:

  • Utilize expertise in Xerox systems to streamline invoicing and data entry processes.
  • Troubleshoot any technical issues related to Xerox systems and collaborate with IT support for resolution.
  • Stay updated on the latest features and functionalities of Xerox systems to maximize efficiency.

5. Admin

  • Maintain and update company databases and ensure that systems are backed up regularly.
  • Organize a filing system for important and confidential company documents, ensuring their security, integrity, and confidentiality.

6. Asset Management

  • Maintain an accurate inventory of company assets and ensure they are properly accounted for, secured, and well maintained.
  • Develop and implement asset management systems including tagging, tracking, and scheduling maintenance for assets.
  • Conduct regular audits of company assets to verify their location and condition, and ensure compliance with company policies and insurance requirements.

7. Reporting and Analysis:

  • Generate regular reports on invoicing and financial data entry metrics for management review.
  • Conduct analysis on financial data to identify trends, patterns, and areas for improvement.
  • Provide insights and recommendations to enhance the efficiency and accuracy of finance processes.

8. Team Collaboration:

  • Collaborate with finance team members to ensure seamless coordination and communication.
  • Foster a positive and supportive work environment conducive to achieving departmental goals.


Requirements/Qualifications:

  • Bachelor's degree in Finance, Accounting, or related field.
  • Proven experience in finance roles with a focus on invoicing and data entry.
  • Proficiency in Xerox systems and software.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work effectively both independently and as part of a team.
  • Analytical mindset with the ability to interpret financial data.
  • Familiarity with relevant accounting principles and regulations.
