Front of House Coordinator

• Answer and route telephone calls promptly and professionally.

• Manage the reception area and front-of-house meeting rooms, ensuring a consistently clean, tidy, and welcoming environment.

• Maintain the overall appearance and presentation of the front-of-house space to reflect a professional and positive first impression.

• Welcome and register visitors, announce them to relevant personnel, and maintain visitor registration records.

• Manage the recording and updating of the office closure message as required.

• Oversee office closing procedures, including relevant signage and end-of-day checklists.

• Ensure Astro subscriptions and daily newspapers are managed and distributed promptly.

 

Meeting Room & Space Management

• Oversee meeting room bookings and coordinate with IT for AV support.

• Manage room scheduling via Appspace including visitor and staff check-ins, dashboard monitoring, and resolving room conflicts in a timely manner.

• Proactively deconflict meeting room clashes and communicate resolution to affected parties.

• Maintain and update the meeting directory on the main floor and manage the digital display on Level 28.

• Support emergency preparedness activities, including participation in drills and coordination of evacuation-related activities.

 

Travel & Logistics Coordination

• Arrange ground transportation for fly-in visitors, ensuring timely coordination of airport transfers and local travel.

• Support staff travel coordination as needed.

 

General & Ad Hoc

• Perform any other duties and ad hoc responsibilities as assigned from time to time.
