The HR cum Payroll Executive is responsible for processing monthly payroll, fully administering the HR data, compensation and benefits for all employees.
Payroll
• Perform monthly payroll transaction, computation of salaries using Times Payroll Software and ensure day to day payroll related matters are carried out systematically, accurately and timely.
• To administer all payroll-related information regarding salary, benefits and compensations. (new hire, resignation, promotion, unpaid leave, staff repayment, overtime, bonus, project allowance, offshore allowance payout etc.)
• To liaise with Crewing and Marine department on payroll documentation for offshore and marine personnel. To ensure that relevant documents or information provided timely for payroll preparation.
• To ensure payments and contributions for statutory are prepared and paid timely prior to the dateline.
• To prepare, manage and keep records of the following:
i. Payroll / EPF / SOCSO / EIS/ ZAKAT / HRDF / IRB / etc.
ii. Notification of new employee and resigned employee to IRD (i.e., Form CP22, CP22A)
iii. To provide and keep records the Employment Information Form with the former employers in the current year for the purpose of MTD (Form PCB/TP3) from the new employee on the month of joining.
iv. To provide and keep records the Individual Deduction and Rebate Claim Form for the MTD Purpose (Form PCB/TP1), if the employee would like to claim the reliefs and rebates on a particular month. Responsible to distribute to all employees at least twice a year.
v. Annual EA form and income tax filing
• To provide the annual and ad-hoc payroll-related report.
• Any adhoc assignments instructed by the HR Manager/Senior Management.
HR Administration
• Administration of all HR records and data in the employee master database and the payroll system.
• Issue and record all HR documents, i.e., Letter of Employment, Confirmation, Promotion, Extension, salary increment, resignation, etc.
• Manage and update records of employees’ annual leave, replacement leave, maternity leave, paternity leave, etc.
• Maintenance of employees' personal files. To ensure the files are up to date at all times.
• Work with the HR Manager to issue and monitor staff performance appraisal for confirmation.
• Provide an update monthly listing of the new and resigning employee to the HR Manager for insurance coverage.
• Prepare regular and ad-hoc HR reports, i.e. salary, benefits, etc.
• Manage and safekeep records of maternity register.
• To review, verify and keep records of expenses claims from all employees.
• To update and keep record of employees’ expenses for medical and hospitalization claims.
• Responsible to manage application and keep records for all online/offline trainings including grant from Human Resource Development Fund (HRDF)
• To assist, manage and keep records on income tax submission and application for tax clearance letter from IRB for expatriate employees.
• To assist with work permit applications via ESD portal for expatriate employees.
• Any adhoc assignments instructed by the HR Manager/Senior Management.
