Job Summary:
The Manager of Benefit Administration is responsible for overseeing the management of the centralized employee benefits administration across KPJ Group. This role leads the transition of benefits processing into a centralized, uniformed HR Shared Services Organization (HR SSO) model, ensuring service excellence, process efficiency, data integrity and regulatory compliance.
The Manager will lead a team of executives, manage key vendor relationships (insurance providers, TPAs, etc.), and collaborate strategically with HR CEOs (Centre of Excellence), HR Business Partners (HRBPs) and other stakeholders to ensure a positive and consistent employee benefits experience across all entities within KPJ Group.

Job Description:

1. Lead, manage, supervise the Centralized Benefits Administration team, setting the workflow/process flow / SOP, performance goals, standards, TAT (turnaround time), KPIs etc. and ensuring efficient and effective execution of all benefits administration functions.

2. Manage end-to-end employee benefits set up and configuration in the HRIS (Workday), including entitlement setup by employee type, employee level, function and entity; benefits enrolment, benefits utilization and approval; benefits accrual and carry-forward; benefits forfeiture and clawbacks; etc. while ensuring adherence to company policy and legal requirements.
3. Ensure timely and accurate processing of employee benefits, claims, including enrolment, changes and termination processes.
4. Direct and enforce compliance with all regulatory standards including tax laws, employment legislation, benefits mandates and internal policies and procedures.
5. Assist COEs by providing feedbacks and participate in discussions and maintaining relationships with the relevant external parties e.g. takaful providers, Third Party Administrators (TPAs), Medical Service providers and statutory bodies to resolve complex queries, escalations and service issues.
6. Serve as the key escalation point for complex employees and HRBP inquiries related to benefits and leave policies.
7. Collaborate strategically with key stakeholders, including Rewards Management and Group Finance, on policy execution, costing and the implementation of benefit revisions and renewals.
8. Oversee the maintenance of accurate benefits records in Workday and other related systems, directing regular audits and validations to ensure high data integrity.
9. Develop, prepare and present regular reports and dashboards for management review, audits, and compliance reporting.
10. Oversee and manage centralized KPJ uniform management process and logistics, including budgeting, ordering, tracking, vendor coordination and post-delivery processes, ensuring streamlined operations and compliance.
11. Drive continuous improvement initiatives to enhance employee experience and operational efficiency within the Shared Services environment.
12. Participate in GHRM budget and planning cycle by preparing the plan and budget for the department, track and monitor the budget utilization and plan implementation.

Job Requirement
Education:
• Bachelor’s Degree in Business Administration, Accounting, Economics, Human Resource Management, or related field.
 

Knowledge and Experiences:
• Minimum 7 years’ experience in HR operations, preferably in benefits administration or payroll.
• Familiarity with statutory benefit schemes and insurance processes in Malaysia.
• Experience working with HRIS platforms; Workday is an added advantage.
• Exposure to shared services environments is a plus.
