We are hiring an energetic Office Administrator cum Executive Assistant to join our all-star team at THE HIVE SOUTHEAST ASIA SDN BHD in Bangsar South, Kuala Lumpur.

  • Supports company operations by maintaining office system.
  • Maintain office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions.
  • Manage Director’s schedule, invitations, and arrangements for appointments, meetings, conferences, and social events.
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
  • Ensure completion of all administrative tasks and manage deadlines.
  • Arrange travel logistics such as hotel bookings and flight arrangements.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • To attend physical/virtual meetings, record, and prepare minutes of meetings.
  • Drafting letters, and memorandums, preparing correspondence, and handling corporate matters.
  • Proof-read letter to be sent and screening email.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Design and implement office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
  • Contribute to team effort by accomplishing related results as needed.
  • Responsible to prepare Credit Notes and Debit Notes including payment voucher.
    Process monthly bill payment to service providers/suppliers.
  • Performing clerical accounting and general office duties as needed.
  • Greeting office visitors and directing them to the appropriate parties.
  • Performing related ad-hoc assignment from the management.
