Lead and guide the junior team members.
Conduct regular meetings with stakeholders (e.g., countries, business) to update on performance and obtain feedback.
Proactively organize internal team meeting for sharing, feedback, and continuous improvement.
Sales Order Processing:
- Ensure all order documents and agreements are completed by the sales division.
- Work closely with respective divisions for the approval of all orders for processing.
- Generate sales order, purchase order, and invoice upon process completion.
- Coordinate with internal/external customers to ensure timing processing/delivery.
- Maintain sales report for day-to-day orders transactions.
- Ensure all order documents attached in Sales Order and save in company SharePoint.
Procurement:
- Prepare reports for the monthly CEO meeting.
- Analyse procurement reports for strategic sourcing review/planning.
- Be prepared to step in as backup for the procurement team when needed.
SOP Review/Update:
- Review and analyze business processes, procedures, and systems
- Identify risks and priorities for improving operational effectiveness and order management.
- Ensure all SOPs, guidelines, and matrices are reviewed and updated.
- Publish and update in SharePoint and Portal.
Supplier Management:
- Coordinate supplier assessments with input from sales, project, and procurement teams.
- Ensuring Supplier Assessment are conducted and updated periodically as per HSS ISO requirement.
Sales Activity and Report Tracking:
- Prepare monthly management reports.
- Maintaining all the sales activity tracking related reports listed below:
Sales reports:
- Monthly closed deal reports
- Customer listing (new and existing logo)
- Salesman performance reports
Assists in any other ad hoc tasks assigned by your superior or management from time to time.
Job Requirements
- Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree, in Business Administration or related field.
- Minimum 5 years in sales support, order management, administration, or procurement.
- Proficient in Microsoft Office programs (Excel, Word, PowerPoint etc.)
- Good command in English and Mandarin (email writing and speaking).
- Team working and collaborative attitude.
- Decent leadership skill and ability to make decisions in any situation.
- Detail-oriented and highly responsible.
- Able to do multi-tasking and work under pressure.
- Positive attitude and service minded.
