Qualifications & experience

• High school diploma or equivalent; additional education or certification in purchasing or supply chain management is a plus. Required language: English & Mandarin.
• Proven experience in a similar role, preferably in a procurement or purchasing department.
• Strong organizational skills with the ability to multitask and prioritize workload effectively.
• Excellent communication skills, both written and verbal, with the ability to interact professionally with vendors and internal stakeholders.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with purchasing software or ERP systems.
• Detail-oriented with a high level of accuracy in data entry and record-keeping.
• Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
• Strong negotiation skills and the ability to build and maintain positive relationships with vendors.
• Knowledge of purchasing principles, practices, and procedures.
• Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.

Tasks & responsibilities

• Assist in the procurement process by generating purchase orders based on requisitions from various departments.
• Coordinate with vendors to obtain quotes, negotiate pricing, and ensure timely delivery of goods.
• Maintain accurate records of purchases, including pricing, delivery dates, and vendor information.
• Track inventory levels and assist in managing stock levels to ensure adequate supply without excessive inventory.
• Communicate with internal stakeholders to clarify purchasing needs and resolve any discrepancies or issues.
• Assist in researching potential vendors and evaluating their capabilities and pricing.
• Assist in analyzing purchasing trends and identifying opportunities for cost savings.
• Provide administrative support to the purchasing department, including filing, data entry, and responding to inquiries.
• Collaborate with other departments to ensure alignment of purchasing activities with organizational goals and objectives.
• Adhere to company policies and procedures, including those related to purchasing and procurement.
