Primary Purpose:

This role provides administrative and operational support to the Retail Operations team, ensuring smooth execution of core processes such as purchase orders, vendor payments, store operational coordination, and reporting. The position plays a key role in maintaining accurate records, supporting store needs, and ensuring timely execution of operational tasks across Singapore and Malaysia.

The successful individual will leverage their proficiency in Retail Operations to...

  • Operations Administration & BuyingHub Support

    • Manage end-to-end processing of Purchase Orders (PO), vendor creation, and invoice/payment tracking

    • Ensure accuracy and completeness of all submissions in line with company processes

    • Liaise with vendors and internal stakeholders to follow up on PO and payment status

  • Coordinate and monitor store-related payments including utilities, ensuring timely submission and proper documentation

  • Support coordination of office to stores dispatch processes; work closely with stores, vendors and logistic partners to ensure timely execution of dispatch activities for Malaysia stores

  • Maintain and update Retail Operations monthly calendar, ensuring visibility of key operational activities and timelines

  • Assist with documentation, tracking, and coordination across store operations activities

  • Provide general administrative support to the Retail Operations team on an as-needed basis

The accomplished individual will possess...

  • 1–3 years of administrative or retail operations support experience

  • Experience in PO processing, invoicing, or vendor coordination is an advantage

  • Strong attention to detail and accuracy in handling data and documentation

  • Good coordination skills with ability to manage multiple tasks

  • Proficient in Microsoft Excel and basic reporting tools

  • Detail-oriented and structured in execution

  • Reliable and consistent in handling routine operational tasks

  • Proactive in following up and closing open items

  • Comfortable working with multiple stakeholders across stores and functions
