School Receptionist
Purpose of Role
The School Receptionist serves as the first point of contact for visitors, parents, students, and staff. The role focuses on delivering a professional, welcoming, and efficient front-of-house service while handling general enquiries and supporting daily school operations at reception level.

School Receptionist
Key Responsibilities
Front Desk & Visitor Experience
Greet all visitors, parents, students and staff in a professional and welcoming manner – including community members from different backgrounds and who may speak other languages
Ensure all guests are signed in and directed appropriately
Maintain a positive and safe front office environment at all times
Provide hospitality and ensure visitors have a smooth and positive school experience
Ensure the front desk is never left unattended during working hours and that cover is arranged so a staff member is always available to replace the receptionist when away from the desk.
Telephone & General Enquiries
Answer incoming calls promptly and professionally
Direct calls to appropriate staff members
Handle general enquiries from parents and visitors
Ensure accurate messages are taken and relayed when staff are unavailable
Student Movement & Attendance
Support student arrival and dismissal procedures to ensure smooth daily flow
Assist with student sign-in and sign-out processes
Ensure student attendance is accurately checked and properly recorded
Monitor and manage late student check-ins at reception
Ensure student movement through the front office is safe and well-coordinated
Emergency & Safety Support
Support the school during fire drills and emergency evacuation procedures
Assist in ensuring visitors and students follow safety protocols during emergencies
Follow instructions from designated staff during emergency situations
Communication Handling (Front Office Level)
Receive, sort, and distribute mail, parcels and deliveries
Assist in relaying basic information between parents and relevant staff when required
Support general communication flow through the reception desk
School Events Support
Provide front desk and visitor support during school events, open days and activities
Assist with visitor registration, directions, and front office coordination during events
Support after-school events when required
Ensure parents are contacted when students are not collected on time
Reception Area Management
Maintain a clean, organised, and presentable reception area
Ensure visitor sign-in systems and front desk materials are up to date
Report any maintenance or facility issues related to the reception area
Administrative Support (Basic Level)
Provide basic clerical support at reception when required (e.g. printing, filing, simple data entry)
Assist with routine front office tasks during peak periods
Professional Conduct & Safeguarding
Maintain confidentiality and professionalism at all times
Follow safeguarding procedures when managing visitors and students
Comply with school policies and front office protocols
Skills, Qualifications and Experience
Minimum Diploma / Professional Certificate
At least 2-3 years of working experience in a related field
Proficiency in English and Bahasa Malaysia, with strong multilingual ability (additional languages such as Mandarin or others are an advantage)
Proficient in MS Office and administrative tasks
Strong customer service attitude and professional appearance
Line management
The School Receptionist will report to the Campus Principal.
