As the Personal Assistant / Organisation Secretary, you will be handling the director's scheduling and calender management of the State Assembly Lady. Coordinate with Resident Association/NGO/State Government Agencies to ensure programs are smooth and organized. It’s a crucial role in managing tasks for the employer and providing comprehensive administrative and organizational support to the company.
Personal Management for the Employer:
- Handle scheduling and calendar management.
- Assist with the director's personal arrangements and tasks
- Manage petty cash and personal finances as needed
- Handle urgent scheduling and office arrangements
- Study the organisation’s portfolios to stay informed.
Office and Administrative Support:
- Manage the EXCO office and staff
- Coordinate with government departments and other related parties
- Manage emails and correspondence
- Prepare and proofread documents and statements
- Take meeting minutes and photos as required.
Communication and Coordination:
- Facilitate communication between the employer and staff, media, and other stakeholders
- Prepare and distribute press invites and maintain press relations
- Follow up on inquiries and ensure timely responses.
Strategic Planning and Reporting:
- Participate in program direction and management meeting
- Set and track monthly reporting and meeting schedules.
Key requirements:
This role requires a blend of administrative competence, excellent communication abilities, and the capacity to manage confidential matters with discretion. The ideal candidate should be well-organized, proactive, and able to provide both administrative and personal support to ensure the smooth operation of the minister's office and activities.
