MVGX Malaysia seeking a versatile and experienced Administrative cum HR Senior Executive to play a pivotal role in managing both administrative functions and partial HR activities. This role has high potential to be converted to a permanent staff.
Responsibilities:
- MSC Registration
- Responsible for the end-to-end process for Multimedia Super Corridor (MSC) application including but not limited to registration, maintenance and providing support.
2. Office Management:
- Oversee day-to-day office operations, ensuring a well-organized and efficient work environment.
- Manage office supplies, equipment, and maintenance.
- Provide general office admin support.
3. Front Desk Coordination:
- Serve as the first point of contact for visitors, clients, and employees.
- Handle incoming calls and direct inquiries to the appropriate parties.
4. Documentation and Record Keeping:
- Maintain accurate and up-to-date records, files, and documentation.
- Handle confidential information with discretion.
5. Travel Coordination:
- Arrange travel logistics for employees, including flights, accommodations, and transportation, where necessary.
- Act as backup travel coordinator for the Executive Assistant
6. Event Coordination:
- Assist in planning and coordinating company events, meetings, and conferences.
- Provide logistical support for internal and external events.
7. Vendor Management:
- Liaise with vendors for office supplies, maintenance, and other services.
- Liaising with HR vendors and statutory boards, where required
- Work with the Finance team to ensure payment has been made promptly.
8. Recruitment and Onboarding:
- Assist in the recruitment process by screening resumes and scheduling interviews.
- Facilitate the onboarding process for new hires.
- Assist in the relocation for expats, including applying necessary work visas, sourcing for accommodation, and onboarding them.
9. Provide HR & statutory updates (if any) to the HQ on a regular basis.
10. Any other duties as required.
Qualifications:
- Bachelor’s Degree in Admin or Business
- At least 3 years of experience in both office administrative and HR roles.
- Good knowledge of local labour laws
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- High level of confidentiality and discretion.
- Cheerful and independent personality
