About the Role
We are looking for a highly organised Senior Office Administrator to support the Group Equity Derivatives function at RHB Banking Group. This role provides end-to-end administrative, operational, and coordination support to ensure the smooth running of the department. You will work closely with the Head of Group Equity Derivatives and a wide range of internal stakeholders, playing a key role in reporting, governance, issue management, and day-to-day operational effectiveness.
What you will be doing
Departmental operations and support
Provide comprehensive administrative and operational support to the Head of Group Equity Derivatives, including preparation of reports, documentation, and management submissions.
Proactively manage daily operational tasks and anticipate departmental needs to ensure smooth functioning.
Reporting, governance, and controls
Coordinate and consolidate regular reporting across Group Equity Derivatives, including regulatory, risk, compliance, audit, and management reports.
Track outstanding audit, compliance, and BRCO items and follow up with relevant parties to ensure timely closure.
Cross-functional coordination and issue management
Act as the main coordination point between Group Equity Derivatives and internal stakeholders such as Operations, Middle Office, Finance, Compliance, IT, and BRCO.
Manage and resolve operational issues, escalate where required, and ensure alignment across teams.
Stakeholder and customer support
Manage internal and external enquiries related to Group Equity Derivatives operations.
Support the team in handling customer matters, including information requests, clarifications, and complaint follow-ups.
Documentation, records, and process management
Maintain departmental documentation, SOPs, governance materials, trackers, and filing systems to ensure audit readiness.
Identify gaps in administrative or reporting processes and recommend practical improvements.
Vendor, billing, and system administration
Manage vendor billing, contract renewals, and coordinate with Procurement and Finance on payments and queries.
Oversee system access requests, entitlement reviews, and coordination with IT for Group Equity Derivatives staff.
Meeting and workflow coordination
Prepare materials for management meetings, governance forums, and internal reviews.
Maintain action logs and follow up on outstanding items to ensure timely completion.
Track workflows, deliverables, and deadlines across the team.
Departmental readiness and support activities
Support onboarding and offboarding processes, ensuring staff have the necessary access, documentation, and resources.
Maintain departmental readiness activities, including BCP updates, mandatory training tracking, and internal compliance requirements.
Ad-hoc support and project assistance
Take ownership of ad-hoc tasks, small projects, and operational initiatives assigned by the Head of Group Equity Derivatives, providing end-to-end execution support.
What we’re looking for
Degree in business administration, management, finance, or a related field.
Strong experience in administrative, operations, or office management roles within a corporate or financial services environment.
Excellent organisational and coordination skills with strong attention to detail.
Good communication and stakeholder management skills.
Ability to manage multiple priorities, work independently, and handle sensitive information with discretion.
