Penerangan Pekerjaan - Personal Assistant

Advisory Apps, a leading IT solutions and software provider, is seeking a proactive and organized Personal Assistant (PA) to support the smooth operation of daily tasks and optimize efficiency within the company. The PA will play a pivotal role in managing sales leads, facilitating customer communication, assisting sales teams with requirement recording, handling financial documentation, addressing ad hoc tasks, and ensuring seamless coordination across various functions.

  • Create and maintain a system to track and follow up on sales leads.
  • Work with sales teams to prioritize leads and ensure timely responses.
  • Assist in scheduling meetings and appointments related to sales activities.
  • Serve as the main point of contact for customer inquiries emails and calls.
  • Provide timely and courteous responses to customer queries and concerns.
  • Collaborate with relevant departments to address customer needs efficiently.
  • Aid sales teams in documenting client requirements and preferences.
  • Assist in preparing sales presentations proposals and contracts as necessary.
  • Generate reports and insights to support sales strategies and decision-making.
  • Organize and manage financial documents including invoices receipts and expense reports.
  • Assist in processing payments tracking expenses and reconciling accounts.
  • Work with the finance department to ensure accuracy and compliance.
  • Handle various administrative tasks including scheduling meetings managing calendars and arranging travel.
  • Support senior management with miscellaneous tasks and projects as needed.
  • Prioritize and execute tasks efficiently to meet deadlines and objectives.
  • Manage time and tasks effectively to optimize productivity and workflow.
  • Maintain clear and open communication channels with team members and stakeholders.
  • Use technology and tools to streamline processes and enhance collaboration.

; JOB REQUIREMENTS:

  • Demonstrated track record in personal assistance, administration, or comparable positions.
  • Outstanding skills in organization and time management.
  • Robust communication and interpersonal capabilities.
  • Competence in Microsoft Office Suite and other pertinent software.
  • Capacity to handle multiple tasks and effectively prioritize in a high-speed setting.
  • Meticulous attention to detail and proactive approach to problem-solving.
  • Discretion and confidentiality in managing sensitive information.
  • Preferbly know all languages: English, Bahasa Melayu and Mandarin.
