Function overview

At Clarksons Port Services, the Crew Coordinator operates within a dynamic and demanding environment where each day presents new challenges. This role demands precision, strong organizational skills, and a customer-centric approach. The coordinator plays a pivotal role in ensuring the smooth and efficient execution of crew changes, which are critical for maintaining operational continuity in our clients' offshore projects.

This position is integral to Clarksons Port Services' service offerings, requiring close collaboration with colleagues in the ship agency department to uphold the company's reputation as a reliable and efficient service provider in the offshore energy sector.

Main Tasks and Responsibilities:

  • Drafting and managing crew change schedules in close collaboration with colleagues in vessel agency operations who track ship arrival and departure times.
  • Ensuring timely and efficient arrangements for all travel and accommodation, including meeting visa requirements.
  • Coordinating logistical aspects of crew changes, such as transportation to and from ports and airports, including booking transportation and accommodations for crew members boarding or disembarking ships in ports or via helicopter.
  • Scheduling appointments with healthcare providers and certification services for crew members as requested by clients, including arranging transportation.
  • Scheduling appointments with training institutions as requested by clients, including arranging transportation.

Communication:

  • Serving as the primary point of contact for both crew members and clients.
  • Effectively communicating with colleagues in vessel agency operations, hotel staff, transport companies, and other relevant parties.
  • Clearly and promptly sharing information about schedules, travel arrangements, and other pertinent details with crew members and other stakeholders.

Administration:

  • Maintaining detailed records related to crew changes, including travel documents, accommodation details, and transportation reservations.
  • Managing and recording expenses in the CPS Portal system related to travel and accommodation arrangements, including tracking budgets and processing invoices.

Problem Solving:

  • Anticipating and efficiently addressing changes and potential issues that may arise during crew changes, such as delays, cancellations, or logistical complications.
  • Coordinating emergency replacements and alternative arrangements in case of an emergency.

Customer Support:

  • Collaborating with clients to understand their specific needs and requirements, providing tailored solutions for their crew change processes.
  • Ensuring a high level of customer satisfaction by delivering excellent service and efficient solutions.

Required Skills and Qualifications:

  • Excellent organizational skills to manage multiple tasks and requests simultaneously.
  • Strong communication skills, both verbal and written, in Dutch and English.
  • Capability to promptly and effectively respond to unforeseen situations and resolve any resulting issues.
  • Capacity to work under pressure and meet deadlines.
  • Flexibility and adaptability to changing circumstances and demands.
  • Understanding of the specific requirements of the offshore energy industry and logistical processes.
  • Familiarity with planning software and administrative systems.
