Job Description - Business Support Assistant

Job Description

As a Business Support Assistant at Rituals, you play a key role in supporting senior leaders within our organization. In this role will support two directors: Lot van Rij (Executive Director Innovation) and Niki Schilling (Executive Director Impact). The Innovation team is responsible for creating new products that continue to inspire and surprise our customers in their journey toward soulful living. The Impact team drives our sustainability and social mission—caring for both people and the planet. With initiatives like our BCorp certification and the 10% Profit Pledge.

In this role, you’ll manage agendas, organize meetings, coordinate business trips and team events, and act as a key contact for both departments. You’ll also work closely with the PR team to plan and prepare for photoshoots, video shoots, and interviews—helping Niki and Lot show up fully prepared for each appearance. You play a vital role in daily operations, supporting both directors and their teams, while remaining visible and approachable within each department. You’ll also be part of our Business Support Community, a team of assistants who support various leaders across the organization and collaborate on cross-functional projects and global events.

In this role, you will:

  • Proactively manage calendars and meeting schedules, ensuring time is spent on the right priorities
  • Organize meetings, events, and international business travel from A to Z
  • Prepare internal and external communications, presentations, and meeting notes
  • Act as a key point of contact for internal and external stakeholders
  • Coordinate department-wide initiatives or small projects in collaboration with other teams
  • Ensure smooth planning and logistics for global events, workshops, and offsites
  • Bring structure, keep an eye on deadlines, and support with follow-up actions

Qualifications

We’re looking for a high-energy, service-minded, and proactive professional who thrives in a fast-moving environment. You’re someone who enjoys being in control, is solution-oriented, and takes pride in enabling others to do their best work.

You bring:

  • A Bachelor degree, preferably in Hospitality, Office Management, or similar
  • 3–7 years of experience in an executive or management support role (international experience is a plus)
  • Strong organizational skills and the ability to prioritize and multitask
  • A proactive mindset—you anticipate needs before they arise
  • Excellent communication skills in English (Dutch is a strong plus)
  • Strong command of Microsoft Office (Outlook, PowerPoint, Teams, SharePoint)
  • A high level of discretion and professionalism
  • An interest in working smarter—open to exploring new tools, including AI-driven solutions
