Job Description - Executive Assistant

Reports To: CEO


 


PURPOSE OF THIS ROLE


Your main focus will be to support the CEO of enviolo and executive team. You will be required to manage the CEO’s day to day schedule, diary management, travel booking, welcome guests, ensure meeting rooms are prepared and anticipate any diary conflicts. The CEO has up to 8 reports knows as the Senior Leadership Team (SLT) and you will be expected to assist them in their busy periods.


 


YOU CREATE IMPACT BY…


Acting as a gate-keeper for the CEO and Senior Leadership Team, related to incoming inquiries and requests for meetings.



  • Must have the ability to assist the CEO and SLT in the prioritization of meetings with regards to scheduling.

  • Must be able to anticipate meeting requirements (IT, catering, travel, etc.) and schedule prep and follow-up meetings with appropriate personnel.

  • This may include providing an RSVP for external events, including conferences, dinners, etc.


Managing multiple complex day-to-day schedules, often in multiple time-zones.



  • This includes coordinating the CEO’s calendar with external calendars, including our Board of Directors.


Preparing monthly expense reports (multi currency with a preference of prior experience utilizing Certify)


 


Coordinating and booking domestic and international travel arrangements



  • This may include preparing travel itineraries for members of leadership

  • This could include booking ground travel for members of the Board of Directors


Preparing and potentially managing confidential information.


 


Some office management responsibilities on an ‘as needed’ basis may include ordering supplies, assisting with the coordination of internal events and ensuring that enviolo AMS is an office that is run as efficiently as possible.


 


WHAT WE’RE LOOKING FOR


We’re looking for an Executive Assistant who’ll thrive in our fast-paced, constantly-changing, entrepreneurial environment, take ownership of challenges, and roll up their sleeves to help get things off the ground.



  • Proven ability to be able to anticipate the needs of others and forward thinking

  • Strong organizational skills

  • Excellent verbal and written communication skills

  • 3+ years of executive assistant experience

  • Professionalism, strong work ethic and positive attitude

  • Prior experience utilizing G-Suite, with experience utilizing Microsoft Office (PPT, Excel)

  • Fluent in Dutch and English

  • You live in Amsterdam

  • This position is preferably 40 hours per week, but open to 36 hours.

HOW WE WORK



  • enviolo is an office based team. Collaboration, quick decision making and problem solving are key to the companies success. A such enviolo has a minimum ‘three day’ in the office work policy and proof that employee’s have a suitable work environment if electing to work from home for the remainder of the week.

  • Employees are expected to live within ‘commutable’ distance (under an hour) to the office and financial support is given to all employees to subsidize public transport.
