Job Description - FMS & Workshop Coordinator

Job Summary


The FMS/Materials Coordinator is responsible for the entire FMS process, including the purchase and tracking of all tools, inventory and consumable items. This includes the operation of all systems and processes required for this purpose. Under the direct supervision of the Country Manager, this position secures the processing of all associated documentation associated to this aspect. As the business systems used by Wellbore Integrity Solutions are integrated in our FMS Application, all purchasing, shipping, workshop, warehouse and invoicing staff should engage consistently with the FMS/materials coordinator and any personnel involved in the preparation of load outs and utilization of inventory parts should co-operate in direct manner with the FMS/Materials Coordinator.


Primary Responsibilities Include:



  • Primary coordinator for Wellbore Integrity Solutions integrated FMS Application at the location.

  • Overall responsibility for the control of rental tool fleet and inventory tracking.

  • Compliance with company procedures for the purchasing, selling and disposal of tools, inventory parts, services and consumable items.

  • Responsibility to investigate the availability of rental tools and spare parts from other districts or from third party suppliers, to initiate and co-ordinate the supply on rental or purchase basis as per the local operational requirement.

  • Coordination of the logistical requirements for outgoing or incoming shipments, including the delivery and receipt of tools to and from our client their installations or facilities.

  • Supervision of any material department personnel and related procedures. This to secure the timely preparation of paperwork using computer system (FMS), including the following aspects : Purchase Orders, Receipt Reports, Shipping Tickets, Return Tickets, Work Orders, Transfer Tickets, Custom Declarations etc.

  • Directly responsible and accountability for inventory and consumable stores.

  • Coordination and processing of regular inventory and tool counting assessments (FMS cycle counts) including updatesof FMS to ensure system accuracy.

  • To investigate any FMS cycle count discrepancies and report same to the Country Manager and Area Asset & Inventory Manager to implement corrective actions if relevant.

  • Maintain direct communication and pro-active interaction between materials, operations, stores, workshop and invoicing departments.

  • Ensure back up processes are in place and documented to be used in case the FMS application is unavailable, and secure all relevant staff is aware of the manual back up protocol so they can adhere to this contingency in the unlikely event the FMS application is (temporary) unavailable for whatever reason.

  • Ensure full compliance with local customs authority requirements and other governmental procedures and take ownership to adopt required amendments to FMS if applicable.

  • Secure full compliance with local customer requirements and procedures in respect to shipping ticket, commercial invoice and delivery documentation requirements (i.e. SNS pool, CMR, Inspection Reports, Helifreight Packaging & Labelling etc).

  • Ensure that all relevant job documentation is stored and filed in a logical and traceable manner to support any potential future revenue audit and/or customer invoice related inquiries.

  • Act in full compliance to WIS Financial, WIS Quality and WIS HSE management system procedures, policies and practises.

  • Work assignments carried out to the highest quality level.

  • Participate in a 7 days/24 hr consignment duty rotation schedule to support WIS Operations Support Team for FMS Support during out of office hours, weekends and public holidays.

  • Perform various other duties and activities as assigned by supervisor within the physical constraints of the job.


Qualifications/Requirements:



  • Fluent in English & Dutch language (verbal, reading & writing).

  • Advanced computer skills to operate MS Office and FMS.

  • Basic understanding of accountancy procedures and protocols.

  • Full understanding of customer delivery and shipping documentation criteria and requirements.

  • Competency on local customs regulations, procedures, protocols, policies and requirements.

  • Time Management Skills.

  • Personal commitment and drive to continuous customer support & service quality improvement.

  • Competences to work closely with fellow employees, suppliers and customers.

  • Proficient verbal and written communication skills with supervisors, peers, suppliers and customers.
