Your Impact

As Order Fulfilment Coordinator, you will be the key operational link between ViCentra and our growing network of distributors across French-speaking markets. You'll own the end-to-end order fulfilment process, from order entry and confirmation through to shipment and invoicing, ensuring distributors receive accurate, timely, and compliant service.

What You’ll Take On

In your role, you will:

• Execute the full distributor order fulfilment cycle: order intake, entry, confirmation, weekly reporting, shipment creation, and handover to invoicing.

• Serve as the primary point of contact for a network of French-speaking distributors, managing day-to-day communications and order queries.

• Manage our third-party logistics (3PL) warehouse operations remotely, ensuring stock accuracy of 99%+ between the 3PL and QAD ERP system.

• Create, release and maintain sales orders; produce packing lists; and arrange shipments from the 3PL site to distributors.

• Generate and distribute weekly order books to ViCentra distributors.

• Coordinate with commercial, manufacturing, finance, quality, procurement, and carrier teams to ensure a seamless order-to-cash process.

• Monitor OTIF (On Time In Full) KPIs per distributor and drive continuous improvement.

• Plan and execute product returns from distributors to the supply site.

• Ensure item master data alignment between ViCentra and the 3PL in line with supply chain plans.

• Support 1–2 site visits per year to the 3PL or distributors as required.

What You Bring

• Bachelor's degree in Business, Supply Chain, Logistics, or a related field (or equivalent practical experience).

• French language proficiency (written and spoken)m essential for managing distributor relationships across French-speaking markets.

• 2–5 years of experience in order management, order fulfilment, supply chain operations, or a closely related commercial/logistics role.

• Proven ability to manage distributor communications and coordinate shipments end-to-end.

• Strong working knowledge of order-to-cash operations and supply chain processes.

• Proficiency in Microsoft Office; experience with ERP systems (QAD or similar) is a plus.

• Excellent English communication skills (written and spoken).

• Highly organised, detail-oriented, and able to manage multiple stakeholders simultaneously.
