Job Description - Internship - Merchandise Allocator

As an Allocator intern you will be responsible for ensuring that the correct stock is on the right place at the right time to maximise sales. You will be responsible for optimising the flow of stock through the business to the stores by means of auto re-ordering and allocation, while assisting the Merchandising team with weekly, seasonal and ad-hoc analysis and communicating to the buying teams. To contribute to the business team in order to achieve divisional and departmental merchandising plans. Develop and maintain optimum store inventory levels, monitor new store performance, and determine proper inventory mixes to satisfy each store by gender, category, style, and size requirement.


 


Key responsibilities include:




  • Develop and execute initial allocation and replenishment of product to all assigned stores detailed in the “Buy Plans.” Manage auto replenishment within published standards and proactively make adjustments based on sales trends, seasonality factors, visual merchandising strategies, and business needs. Identify and focus on “Top 20” SKUs. Target a 90% in-stock rate on those SKUs. Develop and employ “best practices” methodologies as they are discovered.

  • Transfers – Responsible for monitoring SKU performance at the store level and recommending transfers or consolidations within published guidelines. Once recommendations are approved by Management an allocator is must identify stores and key them into the APROPOS system.

  • Ensure the right balance of product within their respective gender/category.

  • Develop allocation parameters that consider store capacity, demand, bulks, seasonality and product lifestyles.

  • Assume responsibility for re-works and transfers based on the “out of stock” criteria set by the planners while focusing on the quality of merchandise, not quantity. In –stock means having adequate sizes on all maintained and active codes.

  • Analysis – Using various stock to sales reports, perform various store level analysis to anticipate the needs of business. This includes creating weekly sales and inventory reports to identify top stores and SKUs, underperforming stores and SKUs and then using solid judgment to take appropriate action and making recommendations to the Planner when needed. Create and utilize reporting tools to facilitate stock balancing transactions, as well as identifying and communicating missed product opportunities in specific store groupings.

  • Bulk management – Monitor “Buy Plans” to ensure that bulks are being distributed in a timely manner. Communicate any issues to the Merchandiser, who will resolve them with the Allocations department. Actively anticipate potential product constraints and direct the Merchandiser to bulk goods to protect future needs.

  • Maximise both stock availability and stockturn through best use of auto replenishment and allocation.

  • Optimise stockturn by highlighting slow selling products and recommending actions to be taken

  • Action transfer of stock between stores and DC once agreed and ensure that RTV deadlines are met.

  • Maintain an up-to-date knowledge of the department, concession performance, best and worst sellers, competitor activity etc.

  • Input markdown following direction from the Merchandiser/AM.

  • Work with the DC to resolve queries and to highlight any unresolved problems

  • Chase suppliers for delivery of orders within the allocated delivery window and assist with booking in at DC where necessary

  • Monitor supplier fulfilment rates on deliveries and highlight any poor suppliers to AM

  • Provide weekly, seasonal and ad-hoc analysis for the Buyer and Merchandiser to inform them of risks and opportunities

  • Maintain an up to date knowledge of the relevant systems and to attend training when required



Education, Skills, Knowledge



  • 1 to 2 Years of Merchandise Allocation experience within a Specialty Retailer

  • Bachelor’s Degree in Finance, Business Administration, Accounting, Economics or Math

  • Excellent written and verbal communication skills

  • Ability to work in a cross-functional team environment

  • Flexible and adaptable to changing environment

  • High level computer literacy of Merchandise Planning systems and Excel (VLook Up and Pivot Tables).

  • Strong computer and analytical abilities, organizational and multi-tasking skills

  • Champion by nature / Challenge enthusiast

  • Highly effective interpersonal communication, consulting, and leadership and motivational capabilities

  • Self-motivated and results driven

  • Skilled at building relationships and working effectively with all levels of the organization

  • Ability and agility to work in a global, multicultural, fast- paced ‘start -up’ environment
