Job Description - Inventory and Procurement Officer

Summary:

The Inventory & Procurement Officer plays a vital role in maintaining the seamless operation of Monat’s facilities by ensuring that all essential supplies—including play materials, café inventory, cleaning products, and office resources—are consistently available, properly stored, and ethically sourced. This entry-level position is ideal for a detail-oriented professional with 0–2 years of experience who is eager to contribute to a values-driven organization committed to quality, safety, and sustainability. The officer supports daily operations through accurate inventory tracking, efficient procurement processes, and strict compliance with safety and hygiene standards, while collaborating closely with cross-functional teams to uphold budgetary and operational goals.

Responsibilities:

Monitor stock levels of play materials, café supplies, cleaning items, and office resources to prevent shortages or overstocking
Maintain accurate digital and physical inventory records, including stock registers and reorder logs
Conduct regular stock counts and audits to ensure data integrity and identify discrepancies
Implement proper storage, labelling, and FIFO (First In, First Out) rotation practices for all materials
Source and procure high-quality, safe, and eco-friendly supplies in alignment with Monat’s sustainability values
Request quotations, prepare purchase orders, and manage supplier communications and delivery schedules
Verify the quality, quantity, and compliance of delivered goods upon receipt
Ensure all materials meet child safety standards, allergen regulations, and hygiene requirements
Collaborate with the Café Manager, Early Years Team, and Admin Officer to support operational needs
Assist in budget tracking and cost control initiatives through responsible purchasing and waste reduction
