IT Hardware Procurement Officer

The IT Hardware Procurement Officer is responsible for sourcing, negotiating, and purchasing high -quality IT and network hardware components required for the company’s operations. This role ensures timely and cost -effective procurement of equipment while maintaining vendor relationships, optimizing supply chain efficiency, and supporting the technical infrastructure needs of the Company.

Key Responsibilities

• Procurement Management:
  

  • Execute end -to -end procurement activities for IT and network hardware (routers, switches, servers, modems, cables, etc.)
    

  • Prepare and issue RFQs and purchase orders in line with company policies and approved budgets.
    

  • Review vendor quotations, negotiate terms, and ensure value -for -money procurement.
    

• Vendor & Supplier Management:
  

  • Identify, evaluate, and maintain relationships with reliable hardware suppliers and distributors.
    

  • Monitor supplier performance in terms of quality, delivery timelines, and after -sales support.
    

  • Maintain an updated database of approved vendors and pricing catalogues.
    

• Inventory & Logistics Coordination:
  

  • Work with the warehouse and logistics teams to track incoming hardware deliveries and ensure proper inventory documentation.
    

  • Support the technical team in verifying equipment specifications and compatibility with network standards.
    

  • Assist in planning hardware procurement based on usage forecasts and project requirements.
    

• Compliance & Documentation:
  

  • Ensure all procurement activities comply with company policies and regulatory standards.
    

  • Maintain accurate procurement records, including contracts, invoices, and delivery notes.
    

  • Prepare periodic procurement and spend analysis reports for management review.
    

• Cost Optimization & Process Improvement:
  

  • Monitor market trends and identify opportunities for cost reduction or alternative sourcing.
    

  • Contribute to continuous improvement initiatives in the procurement process.
    

Requirements

Qualifications & Requirements

• Bachelor’s degree in Supply Chain Management, Business Administration, Engineering, or a related field.
  

• 3–5 years of experience in procurement or supply chain management, preferably in an ISP, ICT, or technology -driven organization.
  

• Proven experience in sourcing IT/network hardware and related equipment.
  

• Strong understanding of procurement processes, supplier negotiations, and contract management.
  

• Proficiency in Microsoft Office Suite and ERP/procurement software (e.g. Microsoft Dynamics 365).
  

• Excellent negotiation, analytical, and communication skills.
  

• Strong attention to detail, organization, and vendor relationship management.
  

• Certification in Supply Chain is an added advantage.
