- Maintaining a positive and professional relationship with our clients including service users and their families
- Daily checking for new referrals from the different brokerage teams that we work with to accept new packages of care. Discuss any issues with your colleagues/supervisor
- Create a good relationship with the brokerage teams
- Ensuring applicants are booked for interviews and information they require like application forms are made available to them
- Ensuring that the care planner system (Careline) is kept up to date. All new service users and staff details are uploaded and kept up to date. Any previous service user or staff details are deactivated (made inactive). This should be checked on a daily basis
- Planning the rota and assigning staff to service users
- Staff information like training updates, certificates, Passports and other documents that have expiry dates are kept up to date to prevent any of them going out of date before their due date. This would be done regularly
- Monitor the call monitoring system to ensure that staff are logging in and out. This should be done daily. Any problems should be reported to your supervisor/line manager
- Complete the staff timesheets into the system and liaise with the accountant
- Ensure that at least 6 service users are contacted weekly for the weekly client review
- Ensure that all service users' daily logs are audited and kept up to date. Necessary actions are followed up
- Ensure that all service users’ MARcharts are audited and kept up to date. Necessary actions are followed up
- Ensure that you contribute to the general cleanliness of the office
- Ensure that you contribute to promoting the positive image of the organization
- Carry out service users’ reviews when assigned
- Participate in staff weekly meetings
- Attend any training that is deemed fit for your position by your manager
- Research and addcontactsntact to the list of organization for training, employment
- Take on any responsibilities asked by the manager as long as it is within reasonable demand
Note: A good working knowledge of computers, social media, and all MS packages especially Excel and Word. Excellent telephone manners and good communication skills. Experience in customer and office administration will be a bonus
