Job Description - Office Secretary

We are seeking a highly organized, proactive, and dependable Office Secretary with proven experience to support daily administrative operations. The ideal candidate will efficiently manage clerical duties, maintain accurate records, and ensure smooth communication across the office.

Key Responsibilities

  • Manage daily office operations, including digital and physical filing, data entry, and record keeping
  • Answer, screen, and direct phone calls, emails, and other correspondence in a professional manner
  • Schedule appointments, coordinate meetings, and maintain calendars
  • Prepare, draft, and format reports, letters, documents, and presentations
  • Take accurate minutes during meetings and ensure timely follow -up on action items
  • Maintain office supplies and liaise with vendors as required
  • Provide administrative support to management and staff
  • Assist in planning and coordinating meetings, events, and executive functions
  • Handle confidential and sensitive information with discretion and professionalism


Requirements


  • Bachelor’s degree in Office Technology & Management or a related field
  • Minimum of 1–2 years of proven experience as an Office Secretary or Administrative Assistant
  • Strong organizational and time -management skills
  • Excellent verbal and written communication skills
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
  • Ability to multitask, prioritize tasks, and work independently
  • High attention to detail and accuracy
  • Experience working in a fast -paced office environment
  • Familiarity with office equipment and basic accounting procedures
