The Project Assistant serves as a vital operational and administrative resource, delivering essential coordination support for designated initiatives and organizational goals. Operating under the supervision of a senior team member, this position ensures project activities remain organized, documentation is up-to-date, stakeholders are effectively communicated with, and action items progress toward successful completion.
Key Responsibilities
Organize and maintain comprehensive project records, including files, schedules, contact directories, and action logs, while managing routine communications.
Facilitate the logistics and coordination of various events, such as meetings, workshops, training sessions, and field visits.
Manage operational details including attendance tracking, material preparation, travel arrangements, and post-event documentation.
Aid in procurement procedures by soliciting vendor quotes, maintaining records, and ensuring follow-through on agreed deliverables.
Assist in financial administration by processing expense reports, invoices, and assisting with basic budget monitoring under guidance.
Execute additional administrative duties as required to support efficient project delivery.
Collaborate with supervisors to update work plans and action trackers to reflect current project status.
Proactively follow up with internal teams, vendors, and partners to ensure adherence to agreed-upon tasks and deadlines.
Promptly identify and escalate any delays, data gaps, or emerging challenges to the supervising manager.
Coordinate multiple concurrent project activities with a focus on accuracy and professional conduct.
Attend scheduled meetings to capture accurate minutes and distribute approved action items to relevant parties.
Disseminate routine project updates to stakeholders through approved communication channels.
Perform desk research to gather background intelligence necessary for strategic planning and informed decision-making.
Collect, verify, and organize project data, supporting documentation, and evidence of completed activities.
Draft initial versions of meeting briefs, activity summaries, presentations, and standard progress reports.
Gradually assume ownership of specific tasks or small workstreams upon demonstrating competence and readiness.
Utilize feedback constructively, document personal learning objectives, and demonstrate measurable professional improvement throughout the placement.
