Job Description

We are seeking a professional and motivated Secretary/Receptionist to join our team. The successful candidate will provide administrative and clerical support to ensure efficient operation of the office.

The candidate will act as the first point of contact for visitors and clients, and will be responsible for managing and distributing information within the office. This work requires high concentration, communication, and organization.

Responsibilities:

  • Greet and welcome visitors and clients as the first point of contact
  • Answer, screen, and forward incoming phone calls and emails
  • Receive and sort daily mail and deliveries
  • Schedule appointments and meetings, and manage the conference room calendar
  • Perform general clerical duties including photocopying, faxing, and filing
  • Engagement in the preparation and execution of business papers and documents,
  • Maintain office supplies inventory and place orders when necessary
  • Coordinate with other departments and personnel to ensure smooth office operations
  • Assist in organizing office events and meetings
  • Ensuring effective management and administrative activities.
  • Helping the director in affairs, and solves many organizational issues.
  • Perform other related duties as assigned

Qualifications

  • Computer Literacy
  • High' National Diploma or equivalent; associate or Bachelor’s degree and/or OTM Certification is a plus.
  • Proven work experience as a secretary or receptionist, with a minimum of 2 years of experience
  • Experience in planning and overseeing events and meetings, and comfort with public speaking is a plus
  • Strong organizational skills with the ability to multitask and prioritize
  • Ability to adapt to an ever-changing environment, with evolving needs
  • Proficient in Microsoft Office and Google Suite
  • Demonstrated ability to keep strict confidentiality
  • Excellent communication and interpersonal skills
  • Attention to detail and problem-solving skills
  • Professional and courteous demeanor
  • Ability to work independently
