Job Description - Senior Executive Assistant to the Senior Pastor
JOB PURPOSE
The Senior Executive Assistant supports the Senior Pastor with planning and follow-up to keep the Pastor's office running smoothly. The role manages the Pastor's calendar and correspondence, leads the Personal Assistants and front office staff, and handles reports, projects, and events on the Pastor's behalf.
KEY RESPONSIBILITIES
1. Calendar and Administrative Support
Manage the Senior Pastor's calendar, appointments, and meetings.
Handle correspondence, reports, and filing for the Pastor's office.
Organize daily office activities and manage workflow to reduce demands on the Pastor's time.
Prepare materials for weekly services, committees, and special events.
Arrange meals, accommodation, travel, and logistics for the Pastor's meetings, events, and guests.
2. Team Coordination
Lead and coordinate the Personal Assistants and front office staff, including their schedules, leave, and deadlines.
Guide the team on office processes and systems, and train new team members as needed.
Make day-to-day decisions on behalf of the Pastor's office, using sound judgment.
3. Financial and Expense Support
Monitor and reconcile expenses linked to the Pastor's office.
Process invoices and expense reports for payment.
Manage the Pastor's office credit card, keeping transactions within policy and reconciling monthly.
4. Communication
Write clear, accurate correspondence and proofread all materials before they go out.
Handle sensitive or difficult messages with tact and discretion.
Take minutes at Church meetings as needed.
5. Projects and Reporting
Track key tasks and deadlines on the Pastor's projects and work plans.
Prepare assessment documents, proposals, and reports as needed.
Take on new or special projects and follow them through to completion.
Collect and analyze information to prepare reports for the Senior Pastor.
6. General Office Management
Maintain filing and record systems for the Pastor's office.
Keep office supplies stocked and tools available.
Manage guest hosting and appointment arrangements for the office.
Take on other duties assigned by the Senior Pastor.
Requirements
Bachelor's degree; further professional qualifications are an advantage.
At least 5 to 7 years in a senior administrative or executive support role, ideally supporting senior leadership.
Proficient in Microsoft Office, Adobe Acrobat, and social media platforms.
A demonstrated Christian faith and character consistent with HICC's values.
