As an Administrative Assistant
you
will provide administrative and operational support. You will contribute to efficiency within the wider support team and play a key role in keeping operations at Summa running smoothly.

The role 


We are looking for a proactive and reliable team member to support our Office Manager
and the Executive Assistant (EA) to the Managing Partner and COO. In this role, you will help ease the workloads of both the Office Manager and the EA by assisting with a range of administrative tasks, contributing to the smooth running of our daily operations in the office.
 


You will be expected to complete assigned tasks on time with a high level of accuracy and attention to detail. Equally important is the ability to take initiative—recognizing what needs to be done without being asked, stepping in to support others, and thriving in a team-oriented environment. You may also be asked to assist other members of the support team during busy periods or absences. 


Due to the nature of this role, which requires flexibility, and in-person support to the team, the position is primarily based in the office.  


The role is a permanent position located in Oslo and will report to the Office Manager.  


Responsibilities and tasks include: 



  • Cover the reception at scheduled times during the week as well as on ad hoc basis when needed
     



  • Assist with travel arrangements, including booking flights, trains, rental cars, accommodation and restaurants 



  • Assist in scheduling and organizing meetings  



  • Process and track travel expenses 



  • Prepare, organize, and maintain travel documents and files 



  • Support general office upkeep, including setting up and cleaning meeting rooms, and helping to keep our
    office welcoming and orderly 
     



  • Assist in organizing company events, such as summer parties, roundtables, after-works, etc. 



  • Perform ongoing ad hoc administrative tasks as needed 


 


Who are we looking for? 


The ideal candidate will have a few years of work experience and demonstrate a strong service-oriented and “can do” mindset. You should have excellent attention to detail, strong collaboration skills, and the ability to build and maintain positive working relationships across the organization. 


Adaptability and clear communication are essential, as priorities can shift and tasks may vary from day to day. A flexible mindset and a willingness to support wherever needed is key to succeed in this role. 


You should be comfortable using Microsoft Office, and have good written and spoken English, as it is our primary working language.
