Job Description - Office Administrator

The role of Office Administrator is primarily to work with the EMEA Operations Administration Manager and Country Manager to successfully run the day-to-day operations within the office. Additionally, there may be a requirement to assist the UK / Irish projects / service teams. This role is to assist the Operations Administration Manager and Country Operations Manager to complete their roles in the most cost effective and time efficient manner while complying with company policy and procedure. The role includes assisting the SHEQ (Safety, Health, Environment, Quality) Manager to ensure the business is compliant.  

Responsibilities:

  • Responsible for providing and maintaining PPE and tools for all engineers, PM’s (Project Manager) and subcontractors where applicable.
  • Liaise with suppliers / subcontractors and build relationships in order to get the pricing and service to deliver in a timely / cost effective manner.
  • Assist with booking the travel, keep close communication with travel agent, quickly respond to all requests, raise all relevant purchase orders.
  • Update the supplier and subcontractor tracker.
  • Attend monthly calls for engineer training, assist in scheduling and maintaining records, ensuring the engineers are compliant as per country standards.
  • Assist SHEQ Manager to ensure the upkeep of the local office maintenance for business compliance.
  • Maintaining the level of the office stationery, general upkeep of the office and general office admin.
  • Assistance to the IT, TECH, and stores team in base level ordering.
  • The maintenance of the business property portfolio services (Airconditioning / window cleaning).
  • Entering Engineer timesheets.
  • Due to the location and nature of the business, it is essential the successful candidate's first language is Norwegian.
  • A great deal of initiative, autonomy, teamwork, and attention to detail is required, as well as flexibility in adapting to future changes within the company and fluctuations within the workload.
  • Experience in office administration, project administration, project coordination or equivalent.
  • To have a commercial awareness and an in-depth knowledge of time and cost implications along with all aspects of how the business processes need to run.
  • Strong communication, organisational and multitasking skills.
  • Ability to adapt to a fast-paced and dynamic work environment.
  • Excellent knowledge of MS Office.
  • Ability to travel when required.
  • Clean Driving License (advantage).
  • Current Passport holder (essential).
