Admin Manager Are you an administrative powerhouse with a knack for meticulous organization and exceptional people skills? Look no further! We are seeking a dynamic Admin Manager to join our team based in Tokoroa and take charge of ensuring smooth operations and fostering strong relationships with our valued clients. Purpose of the Position: As our Admin Manager, you'll play a pivotal role in: * Ensuring all administrative duties are executed accurately and promptly. * Maintaining cash flow through precise invoicing and creditor payments management. * Building and nurturing client relationships. * Improving administrative performance and refining processes and procedures. * Coaching and guiding staff, clients, and suppliers on adhering to company admin processes. Key Responsibilities: * Operational Activities: * Handle time sheet management, payroll processing, and client invoicing. * Monitor job costings, track variations, and provide project reports. * Collaborate with staff to generate quotes and manage potential work. * Cultivate relationships with stakeholders. * Administration Process Development: * Assist in developing and implementing administrative processes. * Manage creditors, create purchase orders, and contribute innovative ideas. * Customer Relations Management: * Provide quality advice and services to stakeholders. * Foster positive client relationships through proactive communication. * Financial Management: * Oversee invoicing and creditor management. * Address issues related to creditors and invoicing. Required Experience and Skills: * Minimum 5 years' administrative experience. * Proficiency in accounting software (e.g., MYOB, Xero) and Microsoft Office. * Strong client relationship management and communication skills. * Proven problem-solving abilities and conflict management skills. * Excellent attention to detail and time management skills. Personal Attributes: * Solutions-focused with a problem-solving mentality. * Excellent communication skills with a friendly personality. * Strong leadership abilities and the capacity to develop effective relationships. * Self-motivated, adaptable, and able to work in a high-paced environment. * Customer service-oriented with a positive and enthusiastic attitude. Additional Information: * Working hours: Monday to Friday, occasional weekend work may be required. * 07:30 am – 16:00 (Business operating hours). * Overtime may be necessary during maintenance activities.
