Your new role
- Providing admin support to Authority Members
- Liaising with parties and Members to arrange and set up a case management conference (teleconference)
- Liaising with parties and Members to arrange and set up investigation meetings (both on site and remotely)
- Take notes/minutes required by a Member at a CMC meeting
- Arrange meeting venues bookings, arrange security and arrange interpreters
- Review, proofread, check simple calculations, names are correct, format, punctuate and check grammar of Member's determinations.
- Answer general inquiries via email and phone - professionally and accurately
- Advise parties that you cannot provide legal advice - but you can explain the ERA process and suggest other agencies to assist the party
- Daily manage your own office general inbox
- Can manage a busy large caseload (upward of 100 files) both electronic and hardcopy, at various different stages, and be able to keep on top of them
- File preparation (make up both - an electronic file on the database and hardcopy)
- Close both an electronic and hardcopy file
What you'll need to succeed
- Must have attention to detail and can follow instruction easily
- Very well organised, can plan and can easily prioritise own work
- Good time management skills
- Accurate data entry skills
- Needs to be agile and flexible, adaptable to change and is cool under pressure
- Experience in dealing with upset and possibly difficult parties
- Desire to assist other in the team when able to do so
- Recognise that you are the point of contact for parties and the liaison between the parties and the Members
- Have strong IT skills in particular - Outlook - managing a calendar - making appointments etc, Word, Excel, MS Teams, Zoom, Databases
- Flexibility - will come in time - 1 year minimum in the office full time to learn and understand the role
- Has a good sense of humour and willing to have fun
