Job Description - Customer service administrator

Dunedin

  • Salary between $65,627 and $70,024
  • Monday to Friday
  • Permanent, full-time 1.0 FTE position (40 hours per week)

An exciting opportunity has become available for an experienced Customer Service Administrator to join our newly established Distribution Centre.

Mō te tūranga - About the role

This is a newly established role and will allow the successful applicant to make the role their own. The Customer Service Administrator will support internal operations and facilitate effective relationships between customer requirements and supply chain delivery. Additionally, the role is responsible for ensuring accurate data entry and providing enquiry service to meet customer needs.

Responsibilities include but are not limited to the following:

  • Provide exceptional customer service via phone, email and or in person for both internal and external customers
  • Process customer orders, returns, and exchanges accurately and efficiently ensuring customer satisfaction and adherence to organisational standards and policies
  • Main customer records and databases with accurate and current information
  • Assist customers with product information, availability, pricing, and delivery options
  • Generate reports and analyse data related to customer enquiries, feedback, and trends to identify areas for improvement
  • Handle customer complaints and escalations professionally, seeking resolution in a timely manner
  • Collaborate with cross-functional teams to improve overall customer experience and satisfaction
  • Coordinate with other departments, Business Support, Master Data, and the larger Supply Chain team to resolve customer issues and proactively seek solutions
  • Support the development and implementation of customer service policies, procedures and standards

We are looking for someone who has previous experience in a customer service role with strong written and verbal communication skills.

Our ideal candidate will have the following:

  • An ability and willingness to learn products and supplies pertinent to the health environment and the handling of dangerous goods
  • Establish and maintain positive working relationships
  • Strong drive to deliver and take personal responsibility
  • Knowledge or understanding of medical products, temperature controlled and or special storage requirements
  • Proficiency in inventory managed systems, Microsoft suite and other relevant software applications
  • Demonstrate an understanding of the significance of and obligations under Te Tiriti o Waitangi, including how to apply Te Tiriti principles in a meaningful way in your role
  • Excellent organisational skills and attention to detail to manage all enquiries and requests efficiently
  • Ability to multitask and prioritise in a fast paced, dynamic work environment
  • Empathy and patience in dealing with customer concerns, experience in positive outcomes and resolving issues
  • Problem solving skills with the ability to think quickly and adapt to changing environments
  • Team player with a positive attitude and willingness to collaborate with multiple teams to achieve common goals
  • Encourage and promote ideas for continual improvement within the role
  • Ability to productively work in a cooperative team environment and to show the initiative to work unsupervised

Utu whānui - Salary range

This role is covered by the terms and conditions of the PSA South Island Clerical Multi-Employer Collective Agreement and the salary will be in accordance with the National Health Administration Workers Pay Scale, Band 3 between Step 1 $65,627, and Step 3 $70,024 p.a pro rata dependant on relevant experience.
