Job Description - Events Coordinator

Join our vibrant university community and make a meaningful impact on student life! We're in search of a dynamic Events Coordinator to enrich the diverse array of events we make available to Massey University students.

Who are we?

Te Tira Ahu Pae is the students’ association for Massey University. We represent and provide services to all Massey tauira (students), whether they study domestically or internationally, by distance or from one of the three physical campuses at Ōtehā – Albany, Manawatū – Palmerston North, Pukeahu – Wellington and Pāmamao - Distance. Te Tira Ahu Pae are dedicated to fostering a supportive and inclusive environment where every tauira can thrive.

About the role - you will never have a dull moment!

Based on our Manawatū campus and will also serve our Distance community, where we deliver excellent event spaces, you will play a role in supporting the growth and diversity of events. From lively Orientation events that bring our campus to life with weeks of engaging activities, interactive games, BBQs, food trucks, online engaging events for the Distance cohort, and live music curated by Radio Control, to consultation events where vital information is shared with students and their feedback helps shape our services. Your role will involve understanding student needs and preferences, facilitating meaningful exchanges, and ensuring our events meet and exceed expectations.

Your role will involve close collaboration with both the Events Manager and Student Representatives, ensuring that the events you coordinate reflect the desires and priorities of the student body. You will work closely with student representatives to understand their vision and goals, incorporating their input into the planning and execution of events to create meaningful and impactful experiences for our students. You will play a pivotal role in translating the ideas and preferences expressed by the organisation into engaging events that enrich the university experience for all.

Additionally, you will be responsible for organising and executing online events tailored to our distance students, ensuring that they too feel connected and engaged with the university community regardless of their physical location. Furthermore, you will collaborate with the Pasifika and Kaihāpai teams to support them in delivering events they host, fostering a sense of community and inclusivity across all cohorts.

Why this role is important:

There is more to attending university than studying and getting that qualification. Events are part of the wider holistic university experience providing connection and belonging. Lifelong friendships and memories can be made through attending events. Students who participate in university events feel more connected to the university community, meet other students, and experience a sense of belonging. As the Events Coordinator, you will play a key role in fostering this sense of community and belonging among Massey tauira.

What you will do:

This role is full of variety with duties related to:

  • Ensure the successful execution of events as detailed in the annual Event plan.
  • Engage closely with student representatives to collect input regarding desired events, to integrate it into the event planning process.
  • Develop events tailored specifically by and for Student Representatives as and when necessary, outside of the yearly event plan.
  • Recruitment of volunteers for events as required.
  • Actively promote Events.
  • Pre-event planning, on the day delivery and post event tasks and evaluation.
  • Draft and complete various paperwork essential to our operations.
  • Report as required on events, including post event debriefs and feedback.

What you need:

  • Tertiary qualification or experience in a relevant field.
  • 2+ years relevant work experience in a similar role and/or experience working on various events.
  • High level of cross-cultural and interpersonal communication skills with Te Tiriti led practice.
  • Knowledge of the tertiary education sector and the student demographic would be an advantage.
  • IT skills – Microsoft 365 suite.
  • Passion for working with students and to be making a difference.
  • Full NZ driver’s licence and ability to drive a Hi-Ace van or similar.
