Job Summary:

We are seeking a highly organised and detail-oriented Office Administration Staff member with robust accounting experience and a good working knowledge of Xero accounting software. The ideal candidate will be responsible for handling administrative tasks, supporting the finance department, and ensuring the smooth operation of office functions.

Key Responsibilities:

Administrative Duties:

  • Manage office supplies and inventory.
  • Organize and maintain physical and electronic files.
  • Coordinate office activities and operations to ensure efficiency.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Schedule and organise meetings, appointments, and travel arrangements.
  • Provide general administrative support to various departments as needed.

Accounting Responsibilities:

  • Perform day-to-day bookkeeping tasks, including data entry, accounts payable, and accounts receivable.
  • Prepare and process invoices, expense reports, and purchase orders.
  • Reconcile bank statements and ensure accuracy in financial records.
  • Assist with payroll processing and ensure timely payments.
  • Support the preparation of financial statements and reports.
  • Assist in budgeting and forecasting activities.

Xero Accounting Software:

  • Maintain and update financial data in Xero accounting software.
  • Generate financial reports and statements using Xero.
  • Ensure accuracy and compliance with accounting standards and company policies.
  • Troubleshoot and resolve issues related to Xero software.

Additional Duties:

  • Collaborate with team members to improve processes and efficiency.
  • Ensure compliance with company policies and procedures.
  • Participate in training and development programs as required.
  • Perform other related duties as assigned by the Office Manager or Finance Manager.

Qualifications:

Education:

  • High school diploma or equivalent required.
  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.

Experience:

  • Minimum of 2-3 years of experience in office administration and accounting.
  • Proven experience working with Xero accounting software.

Skills:

  • Strong understanding of accounting principles and practices.
  • Proficiency in Xero accounting software and Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Effective communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Problem-solving skills and the ability to handle multiple tasks simultaneously.

Working Conditions:

  • Office environment with standard office equipment.
  • May require occasional lifting of supplies and materials.
  • Regular business hours with occasional overtime as needed.
