Job Description - Administrative Support Officer

Our client is shaping the future of education by guiding providers to align with the Government's visionary goals. They are making it their mission to craft a system that ensures children in New Zealand grow up with an education that sets them up for success in life.  

As the Administrative Support Officer, you will play a pivotal role behind the scenes to ensure these goals are achieved. We are seeking a friendly, detail-oriented, and process driven individual to cover extended holiday leave in August – September.  

Key Responsibilities: 

  • Provide daily administrative support to the large branch team and across the Bay of Plenty region 

  • First point of contact to warmly greet clients, visitors, and providing phone support when required 

  • Overseeing and managing smooth operations of the organisations EV fleet

  • Manage and action tasks from the shared support mailbox 

  • Organise catering and events when required 

  • Booking of meeting rooms onsite and offsite  

  • Arrange travel logistics, including taxis, rental cars, flights, and accommodation 

  • Manage and order site supplies when required 

  • Maintain cleanliness and organisation in the kitchen and across the meeting rooms 

Our ideal candidate will have:

  • Recent experience in a similar role  

  • IT savvy required for troubleshooting issues and working across a range of complex systems  

  • Adept with following processes, procedures and understands the importance of these  

  • Excellent listening and writing skills 

  • Strong understanding of client confidentiality 

  • Proficient in the MS Office 365 including Teams 

  • An approachable and adaptable person to align with their team environment 

  • Great problem-solving skills
