Job Description:

We are seeking a dynamic and organized Administrative Coordinator to join our team. The ideal candidate will play a pivotal role in supporting our customers and trades, ensuring seamless communication and coordination between all stakeholders. This position offers an exciting opportunity to work in a fast-paced environment and contribute to the success of our organization.

Responsibilities:

Customer Relationship Management:

  • Serve as the primary point of contact for customer inquiries, ensuring timely and professional responses.
  • Build and maintain strong relationships with customers, understanding their needs and preferences.
  • Coordinate customer appointments, meetings, and follow-up communications.

Trade Coordination:

  • Collaborate with trades and vendors to schedule appointments, deliveries, and service calls.
  • Facilitate communication between trades and internal teams to ensure smooth project execution.
  • Maintain accurate records of trade contacts, services provided, and payments.

Administrative Support:

  • Provide administrative support to the team, including managing calendars, scheduling meetings, and preparing documents and presentations.
  • Assist in the preparation and distribution of reports, proposals, and correspondence.
  • Coordinate travel arrangements and logistics for team members as needed.

Documentation and Record-Keeping:

  • Maintain organized and up-to-date records of customer interactions, transactions, and project details.
  • Ensure compliance with company policies and procedures regarding documentation and record-keeping.
  • Assist in the preparation and maintenance of contracts, agreements, and other legal documents.

Communication and Collaboration:

  • Communicate effectively with internal teams, trades, and customers to ensure alignment and coordination of efforts.
  • Act as a liaison between different departments and stakeholders, facilitating communication and resolving any issues or conflicts that may arise.
  • Participate in team meetings, providing updates and insights on customer and trade interactions.

Qualifications:

  • Proven experience in an administrative or customer service role, preferably in a related industry.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with customers, trades, and internal teams.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Attention to detail and accuracy in documentation and record-keeping.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Flexibility and adaptability to changing priorities and deadlines.

Education:

  • Bachelor's degree in Business Administration, Communications, or related field preferred.
