Job Description - Assistant Branch Manager

Position Overview:
We are seeking a motivated and experienced Assistant Branch Manager to support our Branch Manager in managing customer service, administrative tasks, team management, and operations. This role is designed to prepare the Assistant Branch Manager to eventually take on the Branch Manager position as our business grows.

Key Responsibilities:

Customer Service:

  • Act as the first point of contact for customers, handling phone calls, emails, and social media interactions.
  • Provide knowledgeable and accurate information to customers, ensuring they feel confident in our services.
  • Foster strong customer relationships and aim to leave customers feeling 'WOWed' by their experience.
  • Manage customer complaints or issues and escalate them to the Branch Manager if necessary.

Sales:

  • Provide same-day quotes for enquiries and follow up to convert leads.
  • Load jobs into the job management system and liaise with the operations team for scheduling.
  • Ensure daily business targets are met.
  • Conduct site visits as required for quoting and follow up on outstanding invoices.

Administration:

  • Generate invoices with before and after photos and send them to customers on the same day as job completion.
  • Assist the Branch Manager reports and job scheduling.
  • Register all jobs requiring EWP on the Worksafe Website.

Reporting:

  • Update daily revenue per technician in the reporting XLS and present this in the weekly team meeting.
  • Track and report lead conversion across various platforms.
  • Regularly report to the Branch Manager, highlighting achievements, challenges, and areas needing attention.

Communication and Collaboration:

  • Communicate effectively with employees, customers, and other stakeholders.
  • Foster a culture of open communication and actively listen to feedback.
  • Represent the company at community events or industry gatherings to promote brand awareness.

Team Management and Operations:

  • Support the Branch Manager in managing the team of technicians and administrative staff.
  • Assist in training and developing team members to enhance their skills and performance.
  • Oversee daily operations to ensure efficiency and effectiveness.

Business Development:

  • Conduct regular market analysis to identify new business opportunities and trends.
  • Develop and maintain strategic partnerships with local businesses, suppliers, and community organizations.
  • Plan and execute promotional activities and campaigns.

Operational Efficiency:

  • Identify and implement process improvements to enhance operational efficiency and reduce costs.
  • Optimize the use of resources to ensure cost-effective operations.
  • Establish and maintain quality control standards.

Team Development:

  • Develop and implement training programs.
  • Conduct regular performance reviews and provide constructive feedback.
  • Organize team-building activities.

Technology and Innovation:

  • Leverage digital tools and technologies to streamline operations.
  • Encourage a culture of innovation.

Financial Management:

  • Assist in the preparation and management of the branch budget.
  • Monitor financial performance and provide regular reports.
  • Implement cost control measures.

Health and Safety:

  • Ensure compliance with all health and safety regulations and company policies.
  • Provide health and safety training to team members.
  • Manage and report any health and safety incidents promptly.

Ideal Candidate:

  • Proven experience in customer service, sales, and administration.
  • Strong leadership and team management skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficiency in using job management systems and other relevant software.
  • Experience in the waterblasting or related industry is a plus.
