Key responsibilities

  • Answering Phone Calls / attend to customer enquiries. Handling customer’s enquiry for Booking, sailing schedule including vessels space & routings, shipment status (cargo tracing) & assigning the depot for empty collection.
  • Issue booking confirmation received thru phones/emails (manually) and via E-portal and follow up on amendment & cancellation.
  • Monitor vessel’s eta date & update all relevant parties internally. Application and monitoring on special cargo (i.e DG / OOG / RF / FLEXITANK) for loading & discharging acceptance. Send Trans-shipment/ Reefer list to other agents for trans-shipment planning/
  • Liaise with depot for equipment arrangement as requested by customer (e.g container nomination, reefer pre-set temperature, food grade, early collection & exchange/return of empty container) and monitor system gate-in for loading.
  • Request customer shipping instruction prior vessel, forward to Doc Centre and monitor processing within timeframe, print BL draft and proforma invoice for customer checking and submit manifest ruling per regulations.
  • Print onboard list upon vessel departure, ensure containers are loaded and information (POD, seal no. VGM etc) are correct. Provide final BLs and invoices for customer collection. Submit Manifest Reconciliation statement to Customs within 14 days after vessel sailing.
  • Obtain loading report from all port prior arrival to New Zealand. Declare DG (PM4), OOG through Port email 12 hours before vessel arrival. 
  • Process Notice of arrival, Invoicing & Release Delivery Order.
