Job Description - Executive Assistant

Enable New Zealand is a Crown-owned entity on a mission; to support disabled people and their whānau to live everyday lives in their communities. We do this by managing access for thousands of disabled and injured New Zealanders to assistive technology equipment, modifications, and information services.



With our head office centrally located in Palmerston North, we are Aotearoa's largest assistive technology and equipment provider. 


 


Mō tēnei tūranga mahi | About this role


We’re looking for a highly organised and proactive Executive Assistant to support our Executive Leadership Team, including the Chief Operations Officer, Chief Experience & Engagement Officer, and Chief Technology Officer.



Each leader works differently, has unique priorities and manages a diverse portfolio – so you’ll need to quickly adapt your style to anticipate their needs.



The Executive Assistant role is pivotal in ensuring the smooth operation of executive functions, providing high-quality support, and contributing to continuous improvement initiatives. You’ll be the go-to person for coordination, communication, and administration, helping our leaders stay focused on delivering impact.


 


Ngā mahi haepapa | Role responsibilities


Key responsibilities include:



  • Providing executive-level support including travel coordination, meeting preparation, and inbox management.

  • Drafting and managing correspondence, reports, and presentations.

  • Coordinating meetings, agendas, and minute-taking.

  • Managing document systems and ensuring accessibility.

  • Supporting internal and external stakeholder relationships.

  • Facilitating continuous improvement and project administration.

  • Upholding Health, Safety and Wellbeing practices and the principles of Te Tiriti o Waitangi.



Ngā āheitanga matua | Key competencies
We’re looking for someone with:



  • Strong organisational skills, attention to detail and growth mindset.

  • Proven experience supporting senior executives in a fast-paced environment.

  • Advanced proficiency in Microsoft Office Suite.

  • Excellent communication and interpersonal skills.

  • Ability to manage multiple portfolios and competing priorities. 

  • A proactive, solutions-focused mindset with ability to make sound decisions.

  • Innovative thinking who thrives in a fast-paced environment and is confident navigating change.
