Job Description - Executive Assistant Environmental Delivery

Our environment here is part of who we are, and at ORC, we work each day to look after it.The OpportunityThe Environmental Delivery Group team at the Otago Regional Council is seeking an experienced Executive Assistant to join them on a permanent, full-time (37.5 hours per week) basis in our Dunedin office. Flexibility around working hours may be considered for the right candidate dependent upon experience.Key ResponsibilitiesProviding high-level executive assistance to the General Manager, including managing calendars, scheduling meetings, filtering communications, including emails, phone calls, and other correspondence, and responding on the General Manager's behalf when necessary.Screening and prioritising requests for the General Manager ensuring urgent matters are immediately brought to their attention or redirected appropriately for resolution.Planning, coordinating, and booking travel arrangements, including flights, accommodation, and itineraries for business trips which includes raising requisitions and goods receipting for the General Manager's business expenditure.Co-ordinating, editing, and formatting Council papers and reports for the Environmental Delivery GroupBuilding and maintaining great working relationships with the General Manager's Direct Reports, Councillors and Key Stakeholders.About YouDemonstrate success supporting a senior executive at EA level.Able to be entrusted with handling sensitive and confidential information, requiring a high level of discretion and trustworthiness.Exceptional verbal and written communication skills, with the ability to exercise discretion, tact, and judgement.High level of proficiency in the use of the Microsoft Office Suite, including Word, PowerPoint, Excel, OneNote and Outlook.Be flexible and adaptable to changing priorities and needs of the General Manager and the organisation.Represent the General Manager and the organisation in a professional and courteous manner in all interactions.Confident, energetic with a positive, can-do attitude.This is an exciting opportunity to provide executive assistance to an accomplished General Manager and become part of a true Otago Regional Council success storyA copy of the full position description is available on our website when you select the link to apply.What we offerWe recognise and celebrate diversity within Team ORC and are committed to providing a work environment that supports inclusion and equal opportunities.
